Operations & Project Coordinator (Zoho)

Job Overview

Our client is seeking a highly organized and proactive Operations & Project Coordinator to support the day-to-day operations of a growing B2B software company. In this full-time remote role, you will keep business processes organized, maintain accurate customer records, and ensure operational tasks are completed efficiently. The successful candidate will work across several Zoho One applications, primarily Zoho Books and Zoho CRM, while supporting customer account management, accounts receivable follow-up, general administrative operations, and basic HR administration. This position requires someone who takes true ownership of their work, communicates professionally, and can manage multiple priorities with minimal supervision.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM Eastern Time (40 hours per week)

Responsibilities

  • Customer Billing & Accounts Receivable: Create and dispatch customer invoices through Zoho Books; monitor outstanding AR pipelines; execute payment reminders and overdue invoice follow-ups via email and phone; record client payments; and prepare weekly AR aging reports.
  • CRM & Customer Data Management: Maintain accurate customer profiles within Zoho CRM; update contact information, billing details, and account notes; merge duplicate records to improve database quality; and generate CRM reports for leadership.
  • Customer Communication & Coordination: Schedule meetings between customers and company leadership; dispatch invitations, reminders, and follow-ups; document meeting outcomes within the CRM; and escalate critical client concerns to appropriate internal teams.
  • Administrative & Operations Support: Organize company documents, contract repositories, and operational records; track internal project tasks to ensure deadlines are met; and help continuously document and improve internal business processes.
  • HR Administration: Maintain highly confidential employee and contractor records; assist with remote onboarding documentation and file management; update internal databases within Zoho People; and track leave requests.

Requirements

  • Operations Footprint: Proven professional experience in operations, administration, customer accounts, or virtual office management.
  • Zoho Ecosystem Mastery: Strong, hands-on experience utilizing Zoho Books and Zoho CRM to manage business workflows.
  • Financial Literacy: Direct experience managing accounts receivable follow-ups, payment logs, and customer billing structures.
  • Linguistic Standard: Excellent written and verbal English communication skills equipped for professional, direct client interaction.
  • Operational Habits: High attention to detail, exceptional time management, and the proven ability to handle sensitive information with discretion.

Qualifications

  • Prior professional experience using additional Zoho One applications such as Zoho Desk, Zoho Projects, Zoho People, Zoho Analytics, Zoho WorkDrive, Zoho Forms, or Zoho Sign is highly preferred.
  • Basic bookkeeping knowledge or experience supporting executives in small business operations.
  • Familiarity with creating standard operating procedures (SOPs) and mapping out business processes.

Key Performance Indicators (KPIs)

  • Maintenance of accurate, up-to-date customer billing records and a measurable reduction in overdue invoices.
  • Structural cleanliness, deduplication, and data accuracy of the central CRM database.
  • Timely, friction-free scheduling and documentation of high-level customer meetings.
  • Well-organized, secure maintenance of HR and corporate back-office administrative documentation.
