Job Overview
We are looking for a sharp, highly organized Operations Manager / Construction Project Coordinator to own daily scheduling, preconstruction support, subcontractor coordination, and operational flow.
In this role, you will serve as the central hub connecting field crews, estimators, vendors, and clients—ensuring jobs stay on schedule, records stay clean, and projects are fully prepped before work begins.
Schedule
- Mon - Fri, 8 AM - 5 PM EST with 1 hr unpaid break (40 hrs per week)
Responsibilities
1. Daily Operations & Schedule Management
- Maintain daily/weekly master schedules in Contractor Foreman, dispatching crews with complete scope, access, material, and safety details.
- Run daily morning and afternoon production check-ins to track field progress, resolve scheduling bottlenecks, and manage weather or staffing adjustments.
- Maintain next-day readiness lists to eliminate crew downtime and ensure materials, equipment, and information are ready in advance.
2. Preconstruction, Estimating & Subcontractor Procurement
- Track the estimate queue to hit target turnaround times; compile site photos, scans, measurements, and specifications into centralized job files.
- Research materials, solicit competitive subcontractor quotes, compile takeoff support packages, and draft initial project scopes.
- Issue subcontractor bid packages, follow up on lead times/pricing, and flag scope gaps or cost risks before quotes go to management.
3. Job Handoff, Field Coordination & Vendor Logistics
- Audit sold-job handoffs before scheduling to verify approved contracts, cost bases, labor plans, permits, and customer selections.
- Serve as primary remote contact for suppliers and subcontractors—coordinating deliveries, order status, material returns, warranty calls, and scope compliance.
- Keep clients updated on routine project progress and draft formal communications for review when scope, pricing, or timeline changes occur.
4. Operating Records, Quality Control & Closeout
- Monitor CompanyCam and job logs daily to ensure required field photos, hours, receipts, daily reports, and change logs are attached correctly.
- Remote-track punch lists, callbacks, and subcontractor deficiencies through resolution; assemble full closeout packages upon job completion.
- Immediately escalate safety concerns, property damage, quality failures, or major customer issues to leadership.
5. Financial Readiness, Admin & Executive Reporting
- Centralize and track vendor bills, subcontractor invoices, daily time records, and billing backup for payroll and job-costing.
- Follow up on outstanding customer invoices and track payment milestones against job readiness.
- Deliver daily exception reports and weekly operating summaries covering job backlogs, equipment downtime, margin concerns, and process improvements.
Position Guardrails & Escalations
- Role Focus: This is a high-autonomy coordination and operations management role within established company guidelines.
- Escalations: Formal contract changes, custom pricing, spending/repair approvals above set limits, safety failures, and cash/financial releases are escalated directly to leadership.
Must-Have Requirements
- At least five years of experience in construction operations, project coordination, production management, or office management for a trade contractor or general contractor.
- Demonstrated ability to coordinate multiple active projects and field crews at the same time.
- Strong phone and written communication skills; comfortable calling suppliers, subcontractors, customers, and employees to get clear answers and commitments.
- Experience with construction schedules, job readiness, material procurement, subcontractor coordination, change documentation, and project closeout.
- Strong organization and follow-through; able to maintain a high volume of open tasks without losing owners, deadlines, or next steps.
- Able to research unfamiliar materials, equipment, product requirements, suppliers, and construction questions online and by phone.
- Comfortable reviewing plans, scopes, photos, measurements, and field notes; able to organize estimate-support information accurately.
- Proficient with construction management software, email, spreadsheets, shared drives, calendars, video meetings, and document management.
- Able to learn and use Contractor Foreman, CompanyCam, Google Workspace, and the company’s current processes.
- Self-directed, dependable, available for the agreed Eastern Time schedule, and comfortable participating in daily team meetings.
- Professional spoken and written English.
Nice-to-Have Requirements
- Experience with Contractor Foreman or a similar construction management platform.
- Experience supporting residential and light-commercial general contracting, HVAC, landscaping, hardscape, lawn service, or property maintenance.
- Prior estimating, quantity takeoff, material pricing, bid solicitation, or vendor quote experience.
- Familiarity with job-cost records, accounts-payable workflows, receivables follow-up, payroll readiness, and purchase documentation.
- Experience coordinating a small fleet, equipment service, or repair vendors.
- Experience building operating checklists, dashboards, and repeatable processes for a growing contractor.
