Job Description
We are seeking a highly competent, proactive Executive Assistant / Personal Assistant to serve as the primary operational support system for the CEO. In this role, you will manage calendar scheduling, organize executive communications, oversee task follow-through across projects, and handle essential personal and administrative logistics. Your main goal will be to free up executive bandwidth, allowing the CEO to focus on core business operations, leadership, and strategic partnerships.
Schedule: Full-Time 08:00 - 17:00
Client Timezone: AWST.
Responsibilities
- Manage the CEO's calendar, schedule internal and external meetings, and handle time zone scheduling across partners.
- Monitor executive email inboxes, filter incoming requests, and draft polished responses on behalf of leadership.
- Track active action items, project deadlines, and follow-ups across engineering and operations teams.
- Coordinate travel arrangements, itineraries, expense filings, and personal administrative logistics for the CEO.
- Prepare meeting agendas, take actionable notes, and prepare presentation decks for executive discussions.
Must-Have Requirements
- 3+ years of experience as an Executive Assistant, Personal Assistant, or Operations Coordinator supporting C-level executives.
- Outstanding written and verbal English proficiency with strong professional diplomacy.
- Mastery of Google Workspace, Microsoft Office, and modern calendar/task management applications.
- Exceptional organizational skills with a high degree of discretion when handling confidential business and personal matters.
- Ability to anticipate executive needs, prioritize tasks independently, and solve problems proactively under minimal supervision.
