Operations Administrator - Custom Manufacturing

Are you an experienced administrator or bookkeeper ready to take true ownership as our Operations Administrator?

In this critical role, you will connect sales, procurement, and production to keep orders moving smoothly and support high-level business growth. We are seeking candidates with 2–3 years of experience in administration, operations, or bookkeeping, alongside proficiency in platforms like Xero, MYOB, or MRP Easy. Prior experience handling detailed order specifications within a custom manufacturing, trade, or construction environment—or managing insurance-referred clients—will make you an immediate standout. 

Client Overview:

This is a well-established Australian business specialising in the design, manufacturing, and installation of awnings, blinds, and shade sails for residential and commercial clients. The company manages the full product lifecycle — from lead capture and custom order processing through to procurement, manufacturing coordination, and on-site installation scheduling. With a growing customer base that includes both private clients and insurance-referred work, the business is at a pivotal stage of transitioning day-to-day operations management to allow the owner to focus on strategic growth.

Schedule:

Part-time Monday - Friday, 4 hours per day Australian Western Standard Time (AWST) (20 work hours per week)

Responsibilities:

  • Manage the company email inbox, triaging leads and converting website inquiries into CRM entries for sales follow-up
  • Process confirmed orders by entering detailed specifications (measurements, angles, materials, powder coating requirements) into MRP Easy
  • Raise and track purchase orders for external suppliers, coordinating timelines for materials such as mesh, powder coating, and canvas stitching
  • Support bookkeeping activities including invoicing, collecting 25% deposits from private customers, and following up on balance payments upon project completion
  • Handle incoming phone calls from customers and provide general client support
  • Monitor order timelines across internal manufacturing and external suppliers to ensure on-time delivery and installation readiness

Requirements:

  • Minimum 2–3 years of experience in administrative, operations, or bookkeeping roles
  • Familiarity with accounting or ERP systems such as Xero, MYOB, or similar platforms
  • Strong written and verbal English communication skills with a neutral, professional phone manner
  • High level of attention to detail and accuracy when processing order specifications and financial data
  • Ability to work independently and manage multiple tasks across email, orders, and bookkeeping simultaneously

Qualifications:

  • Bonus if you have prior experience using MRP Easy or a comparable manufacturing/production management system
  • It helps if you have worked in a trade, construction, or custom-manufacturing environment where order specifications were highly detailed
  • Bonus if you have experience processing insurance claims or liaising with insurance-referred clients
