Sales Operations & Retail Support Coordinator (NetSuite)

Overview

Our client is looking for a highly organized and proactive Sales Operations & Retail Support Coordinator (NetSuite) to serve as a key operational partner to their U.S. sales team and Chief Revenue Officer. In this role, you will own the end-to-end sales operations supporting retail accounts, from item setup and purchase order coordination to cross-functional project tracking and record maintenance. You will keep global teams across the U.S., Australia, and Asia seamlessly aligned on retailer requirements, deliverables, and critical deadlines while acting as the primary point of contact for assigned accounts. The ideal candidate brings prior experience supporting U.S. retail accounts, communicates confidently on operational topics, and proactively spots potential risks before they impact an order or launch. While NetSuite experience is a helpful plus, comprehensive training will be provided to ensure your success.

Schedule:

  • Monday to Friday, 9:00 a.m. to 3:00 p.m. Pacific Time (30 hours per week)

Responsibilities

  • Retailer Setup and Cross-Functional Project Management: Own end-to-end item setups, portals, and compliance (e.g., WERCS), while building timelines and coordinating with global cross-functional teams (Sales, Ops, Legal, Finance) to keep projects on track using Monday.com and Airtable.
  • Retailer Records, Grids, and Submissions: Maintain an organized library of retailer templates, complete assortment and promotional grids (UPCs, specs, pricing), and ensure product/customer data stays synchronized across retailer portals and internal ERP records.
  • Purchase Order Coordination: Review customer POs for accuracy against approved items, pricing, and ship windows, resolve routine discrepancies directly, and maintain clear status tracking so Sales can focus on commercial matters.
  • Customer Communication and Account Support: Serve as a direct contact for retailer inventory teams and assistant buyers on routine operational matters, display execution, and ship window updates, while escalating commercial decisions to Sales.
  • Samples and Shipping Coordination: Manage sample/mockup needs, track inventory, issue twice-monthly stock updates, and coordinate FedEx shipments (preferring Minneapolis–St. Paul candidates if local handling is required, or coordinating with a U.S. partner for offshore hires).
  • Sales Operations Records and Spend Tracking: Track trade spend, shopper marketing commitments, and approved program budgets to support routine sales reporting.
  • ERP and Data Maintenance: Maintain product, customer, and order data in NetSuite and run Excel tracking files (utilizing lookups and pivot tables for accuracy).

Requirements

  • Experience supporting U.S. retail accounts or working with U.S. retailer requirements.
  • Experience with retailer item setup, product submission requirements, portals, or item grids.
  • Experience reviewing and processing retailer purchase orders.
  • Strong written and verbal communication skills, with the judgment to manage routine customer communication professionally.
  • Strong project coordination skills, including managing timelines, follow-ups, dependencies, and multiple deadlines.
  • Proficiency in Microsoft Excel and comfort working with structured product and customer data.
  • Familiarity with Monday.com, Airtable, or similar workflow and project tracking tools.
  • Strong attention to detail and ability to identify missing or inconsistent information.
  • Ability to work independently in a remote environment and collaborate across time zones.
  • PowerPoint and NetSuite experience are helpful but not required. Training will be provided.
