Senior U.S. Nonprofit Financial Controller (QuickBooks & Bill.com)

Overview

Our client is looking for a Senior U.S. Nonprofit Financial Controller (QuickBooks & Bill.com) to strengthen their accounting and financial operations. In this role, you will work closely with senior leadership to bring clarity to complex financial information while managing day-to-day financial execution. You will oversee budgeting, forecasting, cash management, and nonprofit-specific financial reporting in a collaborative remote environment. The position requires a hands-on professional with strong expertise in U.S. GAAP for nonprofits, Form 990 filings, restricted funds, and conditional donations. Ultimately, you will serve as a trusted financial partner who translates data into actionable insights and leads key finance and operating meetings.

Schedule:

  • Monday–Friday, 40 hours/week, 9:00 AM to 6:00 PM (U.S. Eastern Time)

Responsibilities

Financial Management & Accounting

  • Oversee and manage day-to-day financial and accounting activities.
  • Apply U.S. GAAP principles within a nonprofit environment.
  • Analyze complex financial information and draw clear, actionable conclusions.
  • Manage accounting for restricted funds, conditional donations, and other nonprofit-specific transactions.
  • Support and oversee Form 990 preparation and related nonprofit financial requirements.
  • Review financial records for accuracy, completeness, and compliance.
  • Mentor and provide guidance to junior accounting team members as needed.

Budgeting, Forecasting & Cash Management

  • Lead annual budgeting and ongoing forecasting processes.
  • Develop and maintain detailed cash flow forecasts.
  • Prepare and manage 13-week cash flow forecasts.
  • Monitor cash position, liquidity, and upcoming financial obligations.
  • Identify financial risks, trends, and opportunities and communicate them to leadership.
  • Provide financial insights to support operational and strategic decisions.

Financial Reporting & Analysis

  • Prepare and present accurate financial statements and management reports.
  • Develop P&L reporting and financial analysis for senior leadership.
  • Analyze program-level or product-level margins and profitability.
  • Identify variances between actuals, budgets, and forecasts and provide explanations.
  • Translate financial data into practical recommendations for the leadership team.
  • Help leadership understand the financial implications of operational decisions.

Technology & Process Improvement

  • Work extensively within QuickBooks Online and Bill.com.
  • Use advanced Excel and Google Sheets for financial analysis, modeling, and reporting.
  • Leverage AI tools to improve financial workflows, analysis, documentation, and productivity.
  • Demonstrate strong working knowledge of Claude or another leading AI platform.
  • Identify opportunities to improve accounting processes, reporting, controls, and efficiency.

Leadership & Collaboration

  • Attend and lead finance and operating meetings with senior leadership.
  • Communicate financial information clearly to both finance and non-finance stakeholders.
  • Take ownership of problems and drive them toward resolution.
  • Work collaboratively within a small team and contribute with empathy and emotional intelligence.
  • Mentor junior accounting staff and provide guidance when needed.
  • Serve as a trusted financial partner to senior leadership.

Requirements

  • Strong Controller-level or equivalent senior finance/accounting experience.
  • Proven experience working with a U.S.-based nonprofit organization.
  • Strong understanding of U.S. GAAP for nonprofit organizations.
  • Hands-on knowledge of Form 990 filings and nonprofit financial reporting.
  • Experience with restricted funds, conditional donations, and other nonprofit accounting considerations.
  • Advanced working knowledge of QuickBooks Online.
  • Advanced working knowledge of Bill.com.
  • Strong budgeting and forecasting experience.
  • Experience with cash management and 13-week cash flow forecasting.
  • Strong financial statement and P&L reporting skills.
  • Experience calculating and analyzing program-level or product-level margins and profitability.
  • Advanced Excel and Google Sheets skills.
  • Strong English communication skills, both verbal and written.
  • Comfortable participating in and leading finance and operating meetings.
  • Strong problem-solving and analytical abilities.
  • High level of emotional intelligence and ability to work effectively with senior leadership.
  • Ability to mentor and support junior accounting staff.
  • Proactive, accountable, and take-charge working style.
  • Comfortable working independently in a remote environment.

Preferred:

  • Experience using Claude or another leading AI platform in a professional setting.
  • Experience improving accounting systems, processes, and internal controls.
  • Experience working within a small or lean finance team.
  • Strong ability to translate financial analysis into operational recommendations.

Scope & Engagement:

  • Initial engagement: 3–6 months.
  • Strong potential for the role to become a long-term engagement following the initial six-month period.
  • Remote position working closely with senior leadership and the finance/accounting team.
  • Hands-on role combining strategic financial analysis with direct execution.
  • Regular participation in finance and operating meetings.
