Executive Assistant to Founder

Job Overview

Our client supports entrepreneurs in the creator economy with education, coaching, and resources to drive business growth and revenue. They are seeking an experienced Executive Assistant to act as a strategic right-hand to the Founder/CEO. In this role, you will streamline operations, protect executive time, and manage key priorities in a fast-paced environment.

Schedule: Monday - Friday, 9:00 AM - 5:00 PM EST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Primary Focus: Give the Founder/CEO their time back. Remove operational and administrative burdens so the Founder/CEO can focus on leadership, strategy, business growth, partnerships, content, and revenue-generating opportunities.
  • Executive Calendar & Time Management: Manage and maintain the complex calendar, schedule and coordinate meetings, prioritize appointments based on business importance, protect strategic deep-work time, resolve scheduling conflicts, and ensure deadline reminders are set.
  • Inbox & Communication Management: Monitor and organize email communications, prioritize urgent messages, draft responses on behalf of the Founder/CEO, follow up with stakeholders, and maintain strict confidentiality.
  • Priority & Task Management: Maintain a clear system for tracking tasks, projects, deadlines, and follow-ups. Distinguish between urgent tasks and high-impact priorities while actively following up with stakeholders.
  • Meeting & Project Coordination: Coordinate agendas and materials, document key decisions, track project progress, escalate potential delays, and assist with cross-functional coordination.
  • Business & Operational Support: Assist with research, presentations, and reports. Help document and improve internal processes, identify repetitive tasks for automation/delegation, and support special business initiatives.
  • Travel & Personal Administration: Research and book travel arrangements, create itineraries, and handle personal administrative tasks and logistical requirements as requested.
  • Proactive Problem-Solving: Anticipate potential issues, propose efficiency-improving solutions, create time-saving systems, and take initiative while knowing when executive input is required.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant, Senior Executive Assistant, Personal Executive Assistant, Chief of Staff Assistant, or similar role (5+ years strongly preferred).
  • Previous experience directly supporting a Founder, CEO, entrepreneur, or senior executive.
  • Experience working in a fast-paced startup, digital business, creator economy, agency, e-commerce, or entrepreneurial environment.
  • Exceptional organizational, time-management, problem-solving, and research skills.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail, high level of professionalism, discretion, and ability to handle confidential information.
  • Highly proactive with a strong sense of ownership and ability to work independently with minimal supervision.
  • Proficiency with digital tools including Google Workspace (Gmail, Calendar, Docs, Sheets, Drive), project management tools (ClickUp, Asana, Notion, Monday.com), Slack, CRM systems (HubSpot), calendar tools, and AI/productivity platforms.

Preferred Candidate Profile

  • Experience working remotely with international teams.
  • Strong experience managing complex calendars and executive priorities.
  • A demonstrated ability to work with minimal direction and high levels of accountability.
