Job Overview
Our client is looking for an experienced Executive Assistant to work closely with the President & CEO. This role goes beyond traditional administrative support. The ideal candidate is proactive, highly organized, and comfortable taking ownership of projects, creating structure, managing priorities, and keeping important initiatives moving forward with minimal supervision. The person in this role will support the CEO across executive operations, board activities, corporate partnerships, events, CRM management, and basic financial administration.

Monday - Friday, 8:00 AM - 5:00 PM U.S. Central Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities
Executive & Operations Support
- Manage and prioritize the CEO’s calendar, meetings, and appointments.
- Monitor and organize the CEO’s inbox, flagging priorities and drafting responses when needed.
- Coordinate projects, timelines, action items, and follow-ups using tools such as Notion, Basecamp, or similar platforms.
- Help establish an organized daily workflow and provide regular updates on priorities and outstanding items.
- Anticipate needs, identify potential issues, and follow through without requiring constant direction.
Board & Organizational Support
- Coordinate Board of Directors meetings, scheduling, materials, and documentation.
- Maintain organized governance records and follow-up items.
- Support corporate partnership and sponsorship activities by maintaining accurate CRM records and tracking opportunities.
- Assist with member, donor, and partner information using CRM platforms such as Glue Up or Personify.
Events & Special Projects
- Support planning and coordination for major events, including the Renaissance Reimagined Gala and Black Entrepreneurs Summit & Expo.
- Maintain event timelines, vendor information, registration details, and follow-up tasks.
- Assist with special projects and initiatives as needed.
Financial Administration
- Support basic bookkeeping and administrative finance tasks.
- Process invoices and track expenses using QuickBooks and similar tools.
Requirements
- 3–5 years of experience supporting senior executives, founders, or business leaders, preferably in a nonprofit or grant-funded organization.
- Strong project coordination skills, with the ability to manage multiple priorities, workflows, and deadlines independently.
- Excellent written and spoken English, with strong judgment, attention to detail, and proactive follow-through.
- Advanced proficiency in Microsoft 365, including Word, Excel, PowerPoint, Outlook, and Teams.
- Experience with project management and productivity tools such as Notion, Basecamp, Zoom, Canva, and AI tools.
- Experience with QuickBooks for invoicing and expense tracking, as well as CRM systems; Glue Up or Personify is a strong advantage.
- Highly organized, proactive, and detail-oriented, with the ability to anticipate needs and work independently.
