We are seeking a highly organized and tech-savvy Marketing & Operations Coordinator (Robotics Startup) to support company founders across marketing execution, administrative coordination, content organization, and internal operations. This role is ideal for a versatile “Swiss army knife” professional who enjoys balancing creative marketing support, operational organization, and founder assistance within a fast-moving startup environment.

Schedule: Full-Time | Flexible within U.S. business hours for communication | Miami, Florida Time Zone

Responsibilities:

Marketing & Content Support

  • Assist with social media calendars, scheduling, and content coordination across LinkedIn, Instagram, and other platforms

  • Support content creation using Canva, Figma, and related design tools

  • Organize photos, website assets, videos, demo clips, and marketing materials

  • Assist with light video editing, clipping, captioning, and formatting for social media and sales use

  • Coordinate with external vendors such as PR agencies, designers, and website teams

  • Help prepare campaign briefs, marketing documents, and content organization workflows

Founder & Administrative Support

  • Support founders with scheduling, research, follow-ups, and general administrative coordination

  • Organize internal files, customer records, vendor documentation, and operational materials

  • Convert meeting notes, voice notes, and rough ideas into organized tasks and actionable documentation

  • Assist with spreadsheets, CRM updates, and operational tracking workflows

Operations & Systems Organization

  • Help organize and improve internal tools including Slack, Notion, Google Drive, Microsoft Teams, Canva, and Figma

  • Create structure across folders, SOPs, project boards, and workflow systems

  • Support internal communication organization across teams and vendors

  • Assist with documentation of workflows and operational processes

AI & Productivity Support

  • Utilize AI tools such as ChatGPT, Claude, Gemini, and similar platforms for research, drafting, and workflow support

  • Help transform unstructured ideas into organized plans, checklists, summaries, and content drafts

  • Explore and test new AI and productivity tools to improve operational efficiency

Requirements:

  • Strong organizational skills and exceptional attention to detail

  • Excellent written English communication skills

  • Comfortable working independently in a remote startup environment

  • Experience with Canva, Figma, Slack, Notion, Google Drive, and Microsoft Teams

  • Familiarity with AI tools such as ChatGPT, Claude, Gemini, or similar platforms

  • Experience supporting social media management, content scheduling, or marketing coordination

  • Ability to handle both creative and administrative responsibilities effectively

  • Resourceful, proactive mindset with ability to adapt quickly to changing priorities

Highly Regarded Skills & Experience:

  • Experience supporting startup founders or fast-growing businesses

  • Familiarity with robotics, SaaS, automation, or technology industries

  • Experience with light video editing and content repurposing

  • Background in operations coordination or project organization

  • Experience improving workflows, documentation systems, or internal operational processes

What Success Looks Like:

Within the first 60 days, this person should help the company:

  • Organize core operational tools and documentation systems

  • Build and maintain a consistent content calendar

  • Create structured workflows for marketing assets and content organization

  • Reduce administrative workload for founders and leadership

  • Improve communication, operational efficiency, and day-to-day coordination across the business

Scope:

  • Support marketing, operational, and administrative initiatives across the company

  • Coordinate internal systems, content workflows, and founder support tasks

  • Contribute directly to improving startup organization and scalability
