Role Overview

We are seeking a proactive, confident, and results-driven Business Development & Client Success Virtual Assistant to manage outbound calls, nurture accounts, book qualified appointments, and maintain strong relationships with new and existing clients. This role is critical for driving repeat business, generating new work orders, and supporting revenue growth.


Responsibilities

Outbound Business Development (Top Priority)

  • Call new potential accounts daily (building managers, property managers, GCs, HOAs, facility directors).

  • Introduce the company, services, licenses, and capabilities.

  • Identify decision-makers, gather contact details, and record information.

  • Set meetings with the owner or estimator.

  • Add all contacts and notes into CRM (GHL or Housecall Pro).

Client Success & Account Retention

  • Conduct weekly or monthly check-in calls to current accounts.

  • Encourage clients to send roofing/electrical work orders.

  • Ask about upcoming projects and maintain top-of-mind awareness.

  • Strengthen relationships to drive recurring business.

Follow-Up Pipeline Management

  • Follow up on all sent estimates (24h, 3-day, 7-day, and monthly cadence).

  • Confirm job schedules, materials, and updates with clients.

  • Call pending jobs to finalize approvals.

  • After job completion, request reviews and referrals.

Lead List Building

  • Build targeted prospect lists using DataAxle, Apollo, old databases, or public resources.

  • Verify contact details and segment lists by account type.

  • Maintain up-to-date lead pipelines inside the CRM.

Communication & Coordination

  • Keep the owner, estimator, and PMs updated on lead status and follow-ups.

  • Provide daily summaries of calls made, appointments set, and opportunities identified.

  • Back-End Administration

    • Organize quotes, invoices, COIs, job photos, and project documents.

    • Maintain contractor license compliance reminders and renewal schedules.

    • Track key dates: insurance expirations, deadlines, renewals.

    • Manage intake of new customer inquiries.

    • Ensure job folders and uploads are complete and up to date.

    CRM & Data Management

    • Update customer profiles, job notes, follow-up status, and scheduling info.

    • Perform daily CRM clean-up and ensure data accuracy.

    • Enter job information, contact details, and project updates.

    Operational Support

    • Manage email inbox: flag important messages, organize folders, draft replies when needed.

    • Schedule follow-ups, calls, and workflow reminders.

    • Coordinate with the estimator, PMs, and office team to keep operations aligned.


Requirements

  • Strong spoken English and confident phone communication.

  • Experience in sales, outbound calling, or client-facing roles.

  • Ability to handle high-volume calling and follow scripted frameworks.

  • Comfortable working with CRMs and structured pipelines.

  • Excellent relationship-building skills.


Preferred Skills

  • Experience in construction, roofing, electrical, or facility services (highly preferred).

  • Prior appointment-setting experience.

  • Familiarity with GoHighLevel or Housecall Pro.

  • Ability to identify qualified prospects and decision-makers quickly.
