B2B Outbound Sales Representative & Appointment Setter (Aged Care & Childcare Food Services)

Overview

Our client is looking for a reliable, detail-oriented B2B Outbound Sales Representative & Appointment Setter (Aged Care & Childcare Food Services) to generate new business opportunities for childcare food delivery and bulk food services across the Illawarra and South Sydney regions. In this role, you will connect with key decision-makers in childcare centres, hospitality venues, aged care, and NDIS providers to schedule high-quality appointments while delivering light administrative support to the business owner. This position requires strong qualification skills, a professional phone presence, and consistent follow-through across a structured split-shift schedule.

Schedule:

  • Part-time 20 hours per week, Monday to Friday: 8:30 AM–10:30 AM and 1:30 PM–3:30 PM (Australian Eastern Time, aligned with Sydney local time, including daylight saving changes)
  • Availability for both daily work blocks is required.

Responsibilities

  • Conduct outbound calls to childcare centres, cafés, restaurants and aged care providers within the Illawarra and South Sydney regions, and to relevant NDIS providers where approved by the client.
  • Introduce the client’s childcare food delivery or bulk food services as appropriate to each prospect, using approved service information.
  • Research prospects and verify their location, organisation type, contact details, and suitability against the client’s target criteria.
  • Identify and engage the appropriate decision-maker or authorised contact responsible for meal services, food purchasing or supplier selection.
  • Use the client’s approved call scripts, qualification questions, outreach guidelines, and booking process consistently.
  • Qualify prospects before booking appointments, confirming service fit, genuine interest, and the purpose of the meeting.
  • Schedule appointments accurately within the business owner’s approved availability, confirming the date, time, time zone, attendees, and meeting format.
  • Provide clear handover notes for each appointment, including the prospect’s needs, current meal or bulk food supply arrangements where relevant, key questions, and agreed next steps.
  • Maintain an organised prospect pipeline with accurate call notes, outcomes, contact details, and follow-up dates.
  • Complete timely follow-ups and appointment confirmations in line with the client’s process.
  • Report regularly on outreach activity, qualified appointments, follow-ups, and barriers to progress.
  • Collaborate directly with the business owner, apply feedback promptly, and raise questions when instructions or prospect eligibility are unclear.
  • Recommend improvements to scripts or outreach materials, with client approval before making changes.
  • Provide general administrative support as assigned by the business owner, which may include data entry, updating records and spreadsheets, organising documents, and assisting with routine correspondence and scheduling.
  • Balance sales outreach, follow-ups, and administrative tasks according to the business owner’s agreed priorities within the part-time schedule.

Appointment Quality Expectations

Every appointment must meet the client’s agreed qualification criteria. Before booking, the representative must:

  • Confirm that the organisation falls within the approved service area and target market.
  • Confirm that the attendee is the relevant decision-maker or a client-approved contact.
  • Establish a relevant need or genuine interest in discussing the client’s childcare food delivery or bulk food services, as applicable.
  • Explain the meeting’s purpose clearly and obtain the prospect’s explicit agreement to attend.
  • Verify contact details and record the booking accurately, with sufficient notes for the business owner to prepare.
  • Requests for information alone must not be recorded as confirmed appointments. Prospects who do not meet the criteria should be documented for follow-up or clarification rather than booked to increase appointment numbers.

Requirements

  • 2–5 years of experience in B2B outbound sales, telemarketing, or appointment setting, with demonstrated lead qualification experience.
  • Strong verbal communication skills and a professional, engaging phone manner.
  • Proven ability to follow written instructions, approved scripts, qualification checklists, and scheduling procedures accurately.
  • Sound judgement in distinguishing a qualified prospect from a general enquiry or unsuitable lead.
  • Strong attention to detail when recording information, managing calendars, and maintaining prospect lists.
  • Confidence using CRM systems or lead-tracking tools to document activity and manage follow-ups.
  • Ability to work independently while remaining accountable to agreed processes and priorities.
  • Receptiveness to coaching, with the ability to apply feedback consistently.
  • Ability to adapt messaging across childcare, café, restaurant and aged care markets without departing from approved service information or making unsupported promises.
  • Strong organisational skills and the ability to manage both sales and general administrative tasks accurately.
  • Confidence using everyday office tools for documents, spreadsheets, email, and calendar management.
  • Reliable availability for the full split-shift schedule.
  • Experience contacting Australian businesses or working in childcare, bulk food services, hospitality, aged care, or related B2B markets is advantageous but not essential.
