Order Management Specialist – Fulfillment and Issue Resolution

Job Overview

Our client is seeking an Order Management Specialist – Fulfillment and Issue Resolution to oversee order progression, investigate fulfillment bottlenecks, and resolve order holds. In this role, you will take ownership of unresolved orders from identification through to final delivery, conducting thorough research into missing information, stock availability, or alternative fulfillment options to ensure seamless customer experiences.

Schedule

  • Monday - Friday, 10:00 AM - 2:00 PM US Eastern Time (20 hours per week)

Responsibilities

  • Order Monitoring & Investigation: Review daily reports to identify orders on hold, awaiting action, overdue, or unshipped; investigate delay reasons and determine required next steps.
  • Issue Resolution: Follow up on missing information, payment issues, proof approvals, stock availability, and other fulfillment blockers.
  • Alternative Sourcing & Problem Solving: Research alternative options using internal resources or contacting suppliers when original fulfillment pathways are delayed or unavailable.
  • Management Escalation: Present findings and structured solution recommendations to supervisors when high-level decisions or approvals are required.
  • Execution & Coordination: Coordinate with internal teams and suppliers to execute approved solutions promptly.
  • Record Maintenance: Keep order records accurate with shipment tracking, hold reasons, out-of-stock data, notes, and follow-up dates to ensure continuous attention until resolution.

Requirements

  • Experience: Proven background in e-commerce operations, order processing, customer service, or administrative coordination.
  • Analytical Skills: Strong attention to detail with the ability to review complex reports and cross-compare information across systems.
  • Problem-Solving & Judgment: Excellent research capabilities and sound judgment on when to act autonomously versus escalating to a supervisor.
  • Communication: Clear written communication skills to summarize issues, actions taken, and recommended next steps.
  • Organization: Ability to prioritize urgent orders and manage multiple outstanding follow-up tasks simultaneously.
  • Software Adaptability: Comfortable learning order management systems, helpdesk software, and product specifications (including printing products).
