Job Overview
Our client is looking for a highly responsive, organized, and client-focused Booking Agent to manage time-sensitive bookings, coordinate tailors and clients, resolve scheduling and service issues, and keep booking systems accurate throughout the shift. This is a high-activity, live booking role where you will communicate with clients and tailors through phone, email, messaging platforms, and internal tools, often handling urgent requests in real time.

Responsibilities
- Respond promptly to new client and tailor requests through email, messaging platforms, and phone
- Acknowledge new job requests as soon as they are received and make live phone calls for urgent or sensitive matters
- Coordinate bookings across multiple cities, matching the appropriate tailor to each job based on availability, location, skill level, client requirements, and preferences
- Monitor active jobs and provide timely updates to both clients and tailors
- Resolve conflicts between clients and tailors professionally and calmly, de-escalating concerns and working toward fair solutions
- Review job history, CRM notes, emails, and relevant records before handling sensitive calls; escalate refunds or rate changes when required
- Quote client and tailor rates using historical records, job requirements, rate sheets, and previous communications without making assumptions
- Maintain accurate, complete, and up-to-date job records, dates, cities, assigned tailors, rates, fitting notes, and billing details in the CRM / Service Management System
- Manage communication channels by applying job numbers, adding notes/transcripts, labeling email threads, and maintaining organized inboxes
- Communicate effectively with the administrative team through Slack and maintain a clear written paper trail of important decisions
- Act as an advocate for tailors while maintaining strong client relationships, documenting preferences (specialties, home city, recurring needs, logistics) to improve future bookings
- Use downtime productively to conduct prospect research, build prospect lists, and perform approved marketing and outreach to previous and potential clients
- Utilize AI tools (e.g., ChatGPT, Claude) for email drafting, research, summaries, and follow-up preparation while maintaining strict data-security standards
- Identify repetitive administrative tasks for automation and assist in developing AI-powered workflows with management approval
