Job Description:
You will be the operational backbone for a passionate therapist who is scaling their practice beyond one-on-one sessions into workshops, seminars, and educational programs.
This role gives you ownership over the entire administrative ecosystem - from organizing chaotic email inboxes and managing business directories to crafting professional communications and driving social media presence through strategy.
You'll free up your client's time so they can focus on changing lives while you ensure everything behind the scenes runs smoothly and professionally. You will be responsible for creating an engaging social media account to draw new patients who seek healing.
Client Overview:
Our client is a growing natural medicine and therapy practice based in Melbourne, Australia, specializing in helping individuals with trauma, sleep disturbances, pain management, and neurodivergent support (autism, ADHD). Founded by a registered nurse who transitioned from mainstream healthcare to holistic therapies, the practice is expanding its reach to schools and educational institutions with innovative therapeutic approaches that deliver rapid, evidence-based results.
Schedule:
- Monday to Friday, flexible schedule during the client’s business hours (Australian Eastern Time, 20 hours per week, 4 hours per day)
Responsibilities:
- Manage and organize email inbox, sorting and prioritizing correspondence to eliminate overwhelm
- Draft professional emails and communications to school boards, insurance companies, and business partners using AI tools responsibly
- Conduct research on business directories, insurance benefits, and professional platforms to identify opportunities
- Create and maintain business bios across multiple directories and professional platforms
- Develop and post social media content, including reels, posts, and marketing materials to drive client acquisition
- Implement lead generation strategies to maintain consistent client flow between treatment cycles
- Organize and structure multiple ongoing projects and initiatives to create clear systems
- Provide general administrative support to streamline day-to-day operations
Must-Have Requirements:
- Minimum 1-2 years of experience in virtual assistance or administrative support roles
- Proven experience managing social media platforms, including content creation and posting
- Strong written communication skills with ability to draft professional business correspondence
- Proficiency using AI tools responsibly for writing and research while maintaining a human tone
- Experience with email management and inbox organization
- Comfortable conducting online research and synthesizing information
- Reliable internet connection and professional home office setup
- Ability to work independently with minimal supervision
Nice-to-Have Requirements:
- Healthcare, wellness, or therapy industry experience is a plus.
- Graphic design skills for creating social media content are preferred.
- Familiarity with business directory platforms and professional listings is an advantage.
- Experience with lead generation or digital marketing strategies is beneficial.
- Portfolio examples of social media accounts you've managed are a bonus.
