Marketing Project Manager (HubSpot)

Job Overview

We are seeking a highly organized Marketing Project Manager (HubSpot) to provide centralized project management and marketing execution support across internal, external, sales, and event marketing initiatives. Acting as the operational backbone, this role manages the end-to-end workflow—moving projects from initial intake through creative execution, cross-functional approval, launch, and KPI reporting. The ideal candidate will coordinate creative teams, streamline Sales-to-Marketing handoffs, maintain project trackers, and ensure all deliverables are executed accurately and on schedule.

Schedule: Mon-Fri, 9 AM - 5 PM EST with 1 hr unpaid break (35 hrs per week)

Responsibilities:

1. Project & Campaign Management

  • Manage the full lifecycle of sales and marketing projects from initial request through final delivery.
  • Develop and manage timelines, milestones, deliverables, owners, dependencies, approvals, and deadlines.
  • Break campaigns and requests into clear, actionable tasks and coordinate execution across teams.
  • Manage multiple projects simultaneously and prioritize based on business needs, sales priorities, launches, events, and deadlines.
  • Maintain the shared marketing calendar and centralized project tracker, providing visibility into active, upcoming, pending, and completed projects.
  • Identify overlap, competing priorities, resource constraints, dependencies, delays, and roadblocks across Internal, External/PSG, Sales, and Event Marketing.
  • Proactively resolve issues when possible and escalate when needed.
  • Support quarterly marketing planning by translating strategic plans into actionable timelines, projects, and deliverables.
  • Ensure projects are completed accurately and on schedule.

2. Team & Creative Workflow Management

  • Coordinate internal and external resources responsible for developing sales and marketing materials.
  • Manage incoming graphic, flyer, branding, sales collateral, video, copy, and other creative requests.
  • Coordinate work with BuzzCube designers, copywriters, and video editors, keeping creative queues full and appropriately prioritized.
  • Assign and route projects based on capacity, skill set, priority, and deadlines.
  • Monitor workload and project progress to ensure deadlines are met.
  • Establish clear ownership and accountability for deliverables.
  • Gather complete requirements before creative work begins, including copy, pricing, dates, links, CTAs, approvals, specifications, and offer details.
  • Coordinate feedback and revisions and ensure direction is organized and communicated clearly.
  • Conduct regular project check-ins and provide status updates to relevant stakeholders.
  • Maintain version control and ensure current materials are organized and easily accessible.

3. Sales Enablement & Marketing Materials

Oversee and coordinate the development and maintenance of materials supporting the Sales organization and DTC marketing, including:

  • Sales flyers and promotional materials
  • Event and conference materials
  • Landing pages and landing-page graphics
  • Sales resources, FAQs, and talking points
  • Campaign-specific collateral
  • Presentations, PDFs, and supporting resources
  • Promotional and launch materials
  • Other assets required to support sales initiatives, events, campaigns, and promotions

4. Sales-to-Marketing Coordination

  • Partner closely with Sales leadership to understand business objectives and translate them into actionable marketing projects.
  • Gather project requirements before work begins to ensure creative and marketing teams have everything needed to execute.
  • Ask the right questions and identify missing information, approvals, links, pricing, dates, terms, CTAs, or other requirements.
  • Ensure marketing materials accurately represent current sales offers, promotions, pricing, terms, and processes.
  • Serve as a bridge between Sales, Marketing, and creative resources to keep teams aligned.
  • Proactively communicate changes that impact active sales and marketing materials.

5. Marketing Execution

  • Build, QA, schedule, and deploy approved email campaigns in HubSpot.
  • Schedule approved social media content.
  • Support Kajabi community operations, including content and call scheduling, posting, and comment/community management.
  • Coordinate landing-page, campaign, event, and sales-support assets through completion and launch.
  • Ensure approved assets are deployed according to campaign and launch timelines.

6. Stakeholder & Approval Management

  • Identify required stakeholders and approvals for each project.
  • Coordinate approvals across Sales, Marketing, Leadership, Finance, Events, Legal, and other departments as needed.
  • Consolidate feedback so creative teams are not receiving conflicting or duplicate requests.
  • Track outstanding approvals and proactively follow up.
  • Escalate issues that could impact a campaign, sales initiative, event, or launch deadline.
  • Keep stakeholders informed of project status, changes, decisions, risks, and upcoming deadlines.

7. Reporting & Quality Control

  • Gather recurring campaign performance metrics, including email delivery, open rates, click rates, conversions, and other defined KPIs.
  • Maintain basic campaign reporting dashboards and provide performance summaries.
  • Review materials before final approval to ensure accuracy, consistency, and completeness.
  • Proofread copy and verify pricing, dates, links, CTAs, offer details, and terms.
  • Ensure commitment forms, landing pages, emails, sales collateral, and supporting materials accurately reflect the same offer and terms.
  • Confirm materials meet established brand and messaging standards.
  • Maintain version control and ensure teams are using the most current materials.
  • Coordinate corrections and revisions before materials reach the Sales team or customers.
  • Proactively flag missing information, delays, conflicting priorities, and risks.

8. Process Improvement

  • Develop repeatable processes, templates, briefs, checklists, and workflows.
  • Improve the intake and prioritization process for sales and marketing requests.
  • Reduce unnecessary back-and-forth, missed handoffs, duplicate work, and delays.
  • Identify opportunities to improve team efficiency, resource utilization, communication, and project visibility.
  • Establish and maintain standardized workflows for recurring campaigns, creative requests, approvals, and launches.

Must-have requirements:

  • 3+ years of experience in marketing project management, marketing operations, project coordination, or a similar role.
  • Strong experience managing multiple projects, campaigns, deadlines, and stakeholders simultaneously.
  • Excellent organizational and project management skills with strong attention to detail.
  • Proven ability to coordinate creative teams, including designers, copywriters, video editors, and other marketing resources.
  • Strong understanding of marketing workflows, campaign execution, and sales enablement.
  • Experience managing project timelines, task assignments, approvals, dependencies, and deliverables.
  • Strong written and verbal English communication skills.
  • Ability to communicate effectively with Sales, Marketing, Leadership, creative teams, and external stakeholders.
  • Highly proactive in identifying missing information, potential delays, bottlenecks, and competing priorities.
  • Strong quality-control skills, including proofreading and reviewing marketing materials for accuracy and consistency.
  • Ability to work independently, take ownership of projects, and follow through with minimal supervision.
  • Strong problem-solving and prioritization skills in a fast-paced environment.
  • Comfortable working with project management systems, shared calendars, spreadsheets, and digital collaboration tools.

Nice to have:

  • Experience with HubSpot and email campaign management.
  • Experience with Kajabi or similar community/content management platforms.
  • Experience coordinating sales enablement and DTC marketing materials.
  • Experience working with external creative agencies or distributed creative teams.
  • Familiarity with social media scheduling and campaign reporting.
  • Experience creating or maintaining project trackers, marketing calendars, briefs, SOPs, and workflow documentation.
  • Familiarity with basic marketing KPIs such as email open rates, click-through rates, conversions, and campaign performance.
  • Experience supporting events, conferences, launches, or promotional campaigns.
  • Experience in a fast-paced agency, marketing, sales, or multi-brand environment.
