Our client is seeking a detail-oriented Digital Archives and Research Assistant to help make digitized historical materials organized, searchable, and accessible. The role involves organizing collections containing over one million pages and expanding into grant research and partner outreach as capacity develops.

Our client is a U.S. nonprofit preserving and sharing overlooked World War II Asia-Pacific history, with digitized collections containing over one million pages.
Schedule

Monday - Friday, 9:00 AM - 5:00 PM Pacific Standard Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Organize assigned batches of digitized historical documents using established archival guidelines.
- Maintain and reconcile the master inventory with records in the Omeka digital archive.
- Create and standardize metadata, including titles, dates, descriptions, subjects, and source references.
- Identify duplicate files, missing pages, OCR errors, and incomplete or inconsistent records.
- Preserve collection, box, folder, and page references, and flag uncertain information for review.
- Provide regular progress updates, document procedures, and communicate blockers to ensure consistent work across the team.
- Handle sensitive historical content thoughtfully and protect confidential organizational information.
- Research relevant grant eligibility, screen requirements, and maintain a grant calendar.
- Help prepare grant drafts and supporting materials for leadership review.
- Assist with research inquiries and outreach to archives, museums, veterans’ organizations, and other potential partners.
- Help interns follow established cataloging and documentation procedures.
- Support digital exhibitions and public education projects using materials from the archive.
Requirements:
- Relevant experience in archives, library work, records management, cataloging, or research involving document collections.
- Proficiency with spreadsheets and digital record systems.
- Ability to distinguish information supported by a document from interpretation or uncertainty.
- Willingness to learn Omeka, metadata standards, and OCR workflows.
- Ability to use AI tools responsibly, verify outputs against original sources, and follow organizational data policies.
- Strong teamwork spirit and discretion in handling sensitive historical documents.
Qualifications:
- Experience with Omeka, Dublin Core metadata, or OCR software.
- Experience researching grants or assisting with nonprofit grant applications.
- Interest in World War II Asia-Pacific history.
- Experience supporting interns, digital exhibitions, or public history projects.
