Job Overview
Our client is looking for an Inventory and Operations Assistant to serve as the backbone of inventory organization and day-to-day operations for a fast-growing sports memorabilia business. In this role, you will gradually learn the inventory, understand how the business operates, keep records current, and help ensure items, purchases, sales, authentication submissions, and money do not fall through the cracks to help scale the operation.
Client Overview
Our client is a growing sports memorabilia business specializing in autographed memorabilia, vintage and modern sports cards, baseballs, photos, tickets, and collectibles. A large portion of their business is conducted through Whatnot, with additional buying, selling, authentication, consignment, trades, and private transactions occurring outside the platform.
Schedule
Monday - Friday, 8:00 AM - 5:00 PM EST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Create and maintain a master inventory database with unique item numbers, descriptions, sport, player, item type, authentication details, purchase date, and source
- Track sales after Whatnot shows and private transactions, updating inventory with sale price, platform fees, net proceeds, profit/loss, and buyer information
- Maintain complete historical records by keeping sold inventory in the database rather than deleting entries
- Manage authentication tracking for autographs and memorabilia, monitoring submission status, items waiting to be submitted, authentication results, and returns
- Research and identify best deals on memorabilia purchases based on established price points and guidelines
- Organize pricing strategies and help implement an ID label system for physical inventory management
- Update Shopify listings with accurate details, descriptions, and images
- Generate reports on purchases, sales, profits, and inventory status to support business decision-making
Requirements
- Minimum 2-5 years of experience in e-commerce operations or inventory management
- Proficiency with Shopify platform for product listing and inventory management
- Advanced Excel skills for database creation, tracking, and reporting
- Experience with online sales platforms and understanding of e-commerce workflows
- Experience with Whatnot platform for live selling is a plus
- Knowledge of sports memorabilia, collectibles, or authentication processes is a plus
- Experience with authentication tracking systems or submission workflows is a plus
