Job Overview

Our client is seeking an autonomous, detail-oriented E-Commerce Bookkeeper to oversee day-to-day accounting across two UK entities. Reporting directly to leadership and working alongside the company’s end-of-year accountants, you will maintain audit-ready ledgers in Xero. You will reconcile high-volume transactions across Shopify, PayPal, and Buy-Now-Pay-Later (BNPL) channels such as Clearpay and Klarna, keeping accounts payable, receivable, and bank feeds fully aligned.

Client Overview

Our client operates two established UK-based companies within the e-commerce and retail sectors—one with a 35-year track record of commercial success and a newer venture focused on modern online sales. Having recently modernized their financial operations onto cloud-based platforms, they are onboarding a remote E-commerce Bookkeeper to manage dual-company ledgers, payment gateway reconciliations, and daily financial administration.

• Monday - Friday, Flexible between 12:00 PM - 06:00 PM BST/GMT (20 work hours per week)

Responsibilities

Multi-Entity & E-Commerce Reconciliations

• Execute daily bookkeeping operations for two UK companies within Xero, ensuring proper VAT and transaction categorization.
• Reconcile multi-channel sales and payout feeds from Shopify, PayPal, Clearpay, and Klarna against bank deposits.
• Audit automated integrations between e-commerce store platforms, payment gateways, and Xero to eliminate sync errors or missing entries.
• Manage bank feed reconciliations, credit card statements, and merchant fee adjustments across multiple business accounts.

Ledgers, AP/AR & Year-End Preparation

• Maintain accurate Accounts Payable (AP) and Accounts Receivable (AR) ledgers for both entities.
• Review and correct financial data discrepancies proactively to keep accounts in compliance with UK standards.
• Prepare clean, organized financial reports, trial balances, and documentation for external accountant review and year-end filing.

Technical Stack & Tools

• Accounting Software: Xero (Sage exposure is a plus)
• E-Commerce & Portals: Shopify Admin, Shopify Payments
• Payment Gateways & BNPL: PayPal, Clearpay, Klarna
• Workspace: Google Workspace, Microsoft Excel

Requirements

• Xero & E-Commerce Mastery: Proven experience managing multi-channel e-commerce bookkeeping within Xero, specifically integrating Shopify sales data.
• Payment Gateway Reconciliation: Direct experience matching payouts, net fees, and reserves from PayPal, Clearpay, and Klarna to cloud bank feeds.
• UK Accounting Context (Bonus): Familiarity with UK bookkeeping standards, multi-company ledger management, or prior support for UK retail brands.
• Autonomous Execution: Ability to manage ledgers independently with minimal supervision, maintaining extreme accuracy under routine deadlines.
