Paylocity Payroll and Compliance Specialist

Job Overview

Our client is a growing, multi-state quick-service restaurant franchise developer and operator with more than 30 locations across the Northeast. They are seeking a detail-oriented and dependable Payroll Specialist to manage accurate, timely, and compliant weekly payroll processing for their multi-state workforce. In this role, you will maintain payroll and tax records, investigate discrepancies, assist employees and managers with payroll questions, and support payroll-related reporting and compliance. This position is ideal for an accounting professional experienced with hourly workforces, overtime calculations, deductions, payroll taxes, benefits, and multi-state wage-and-hour requirements.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM EST, with 1 hour unpaid break (40 hours per week)

Responsibilities

  • Process accurate and timely weekly payroll for employees across multiple companies, locations, and states.
  • Review employee timecards and payroll data for missing punches, incorrect rates, overtime, bonuses, deductions, reimbursements, and other discrepancies.
  • Calculate regular wages, weighted overtime, and deductions.
  • Verify new hires, terminations, pay-rate changes, direct-deposit information, tax elections, garnishments, and other payroll updates.
  • Maintain accurate employee payroll records, tax information, and supporting documentation.
  • Review payroll registers and complete pre- and post-payroll audits.
  • Reconcile payroll totals, deductions, benefit contributions, taxes, and payroll funding.
  • Monitor payroll tax profiles and registrations to ensure employees and work locations are assigned to the appropriate state and local jurisdictions.
  • Respond to employee and manager payroll questions professionally and promptly.
  • Research and resolve paycheck discrepancies, tax issues, missing payments, and other payroll concerns.
  • Coordinate with People Operations, Finance, Operations, benefits providers, and payroll vendors.
  • Prepare payroll reports and analyses using advanced Excel functions.
  • Maintain strict confidentiality of employee, payroll, banking, and personally identifiable information.
  • Identify opportunities to improve payroll processes, controls, accuracy, and efficiency.

Requirements

  • Experience processing weekly payroll accurately and within established deadlines.
  • Strong knowledge of payroll taxes, wage-and-hour requirements, overtime calculations, deductions, and payroll compliance.
  • Understanding of benefits administration and employee payroll deductions.
  • Experience using Paylocity or similar payroll platforms.
  • Advanced Microsoft Excel skills, including pivot tables, lookups, formulas, reconciliations, and payroll reporting.
  • Strong analytical, organizational, and problem-solving abilities.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to manage confidential and sensitive employee information.
  • Strong written and verbal communication skills.
  • Ability to independently prioritize multiple deadlines in a fast-paced environment.

Qualifications

  • Two or more years of payroll-processing experience is preferred.
  • Experience processing multi-state payroll is preferred.
  • Experience supporting a multi-location, hourly, or high-volume workforce is strongly preferred.
  • Restaurant, retail, hospitality, or franchise-industry experience is strongly preferred.
  • Familiarity with tipped employees, weighted overtime, multiple pay rates, wage garnishments, and state and local payroll taxes is preferred.
  • Payroll certification, such as Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP), is a plus.
