Our client is seeking a patient, detail-oriented OB-GYN Medical Administrative & Insurance Coordinator to manage end-to-end front-desk administrative workflows for a busy OB-GYN practice. In this primarily administrative role, you will serve as the primary point of contact for patient communications, handling inbound and outbound phone calls, managing appointment rosters, verifying insurance coverage, coordinating surgical schedules, and processing prior authorizations. The ideal candidate combines strong knowledge of medical terminology with polished verbal communication skills and strict adherence to HIPAA privacy protocols. 

Client Overview

Our client is a well-established, single-provider obstetrics and gynecology (OB-GYN) practice based in New Jersey. Dedicated to delivering high-quality, personalized healthcare, the practice is expanding its administrative capabilities by onboarding a remote specialist to take full ownership of front-desk operations, patient scheduling, and insurance verification.

Schedule

  1. Monday 9:00 AM - 3:00 PM EST | Wednesday 9:00 AM - 5:00 PM EST | Thursday 9:00 AM - 3:00 PM EST (20 hours per week)

Responsibilities

  • Patient Scheduling & Inbound/Outbound Communication:
    • Answer incoming patient phone calls using the practice’s cloud-based VoIP phone system.
    • Schedule and confirm appointments, conducting proactive outreach for annual checkups and follow-up visits.
    • Manage written patient communications via email and SMS text with clear, empathetic, and professional language.
    • Execute surgical scheduling logistics and coordinate pre-visit preparation instructions with patients.
  • Insurance Verification & Front-Office Administration:
    • Verify patient health insurance coverage and eligibility prior to scheduled visits.
    • Submit, track, and follow up on insurance prior authorization requests.
    • Maintain complete, HIPAA-compliant patient records and administrative logs in the practice management software.
    • Provide comprehensive back-office administrative support directly to the practice owner.

Requirements

  • Direct experience in medical virtual assistance or front-desk administration.
  • Proven experience verifying medical insurance benefits and navigating prior authorization processes.
  • Exceptional verbal phone skills for patient interaction, paired with clear written communication for email and text correspondence.
  • Solid grasp of medical terminology, healthcare documentation, and strict HIPAA privacy regulations.

Qualifications

  • Obstetrics & Gynecology (OB/GYN) health-related experience  is highly preferred. 
  • Registered Nurse (RN) credentials, formal medical training, or prior experience supporting single-provider practices is a strong advantage.
