Behavioral Health Operations Manager

Overview
Our client is looking for a skilled Operations Specialist to streamline and elevate their behavioral health and non-profit operations. In this role, you will conduct end-to-end operational reviews, assess HIPAA and governance compliance, and address inefficiencies across multiple organization workflows. You will be instrumental in building robust SOPs, organizational manuals, and sustainable systems that optimize intake, scheduling, and administrative infrastructure.

Schedule
Monday - Friday, 9:00 AM to 6:00 PM US Central Time, Daily 1-hour Unpaid Break, 40 hours/week

Responsibilities
For the primary company, review operational processes from beginning to end, including:

  • New-client inquiry and intake
  • Insurance verification and authorization workflows
  • Scheduling and administrative procedures
  • Documentation and clinical administrative workflows
  • Billing, collections, and account follow-up processes
  • Client discharge/termination processes
  • Clinician onboarding and offboarding
  • Employee and independent-contractor procedures
  • Graduate intern onboarding and management
  • Clinical supervision administrative processes
  • HIPAA/privacy-related administrative procedures
  • Incident and complaint procedures
  • Internal policies and procedures
  • Administrative roles and responsibilities
  • Existing SOPs, checklists, and workflows

For the non-profit partner initiative, review and help organize nonprofit operations, including:

  • Client eligibility and intake
  • Waiting-list procedures
  • Graduate internship applications and screening
  • Intern onboarding and orientation
  • University affiliation/placement processes
  • Clinical supervision procedures
  • Volunteer procedures
  • Outcome tracking and program evaluation
  • Board and governance documentation
  • Grant-related administrative documentation
  • Donor-related procedures
  • Record retention and organizational files
  • Annual organizational/compliance calendars
  • Policies, procedures, SOPs, and internal controls

Condensed Responsibilities:

  • Conduct end‑to‑end operational reviews across healthcare, nonprofit, and retreat settings, mapping workflows from intake to discharge/participation.
  • Assess compliance with HIPAA/privacy standards, internal controls, and governance requirements.
  • Identify gaps, duplications, unclear responsibilities, and inefficiencies in administrative, clinical, and program processes.
  • Develop and standardize SOPs, policies, workflows, checklists, and compliance calendars for sustainable operations.
  • Establish nonprofit operational infrastructure, including board governance, donor/grant documentation, volunteer procedures, and outcome tracking.
  • Create comprehensive operations manuals and implementation plans to ensure clarity, accountability, and efficiency across all organizations.

Requirements

  • Demonstrated experience in healthcare or behavioral‑health operations, including HIPAA‑sensitive environments.
  • Proven expertise in business process improvement, workflow mapping, and compliance systems.
  • Strong background in nonprofit operations, governance, and grant‑related administrative procedures.
  • Skilled in SOP/policy development, internal controls, and organizational documentation.
  • Project management capability to deliver structured operational reviews and implementation plans.
  • Excellent communication and analytical skills; able to translate findings into actionable, sustainable systems.
