Our client is a high-volume personal injury law firm operating on a contingency fee basis. The firm handles a significant caseload of personal injury litigation and settlement matters, with a growing need for dedicated client communication and administrative support. This is a fully remote, cloud-based practice with established systems and processes
 
Job Description
You will serve as the essential communication bridge between a busy attorney and their clients, ensuring every client feels informed and valued without pulling the attorney away from critical legal work. You'll manage day-to-day scheduling, coordinate appointments and reminders, and provide status updates to clients about their personal injury cases. This role combines classic executive assistant responsibilities with client relations, requiring you to quickly learn case details and litigation stages so you can confidently communicate progress and next steps. You'll work in close contact with the attorney to stay current on case developments, allowing them to focus more time on litigation while you handle the administrative operations and client touchpoints that keep a high-volume practice running smoothly.
 
Schedule
  • Mon-Fri, 8:30am - 5:30pm Central Standard Time with an hour unpaid break
Responsibilities
  • Manage daily scheduling, appointments, and reminders for the attorney
  • Serve as the primary contact for clients seeking status updates on their personal injury cases
  • Communicate case progress and developments to clients in a clear, professional manner
  • Learn and stay current on the status of litigating cases and those in settlement negotiations
  • Coordinate with the attorney regularly to receive updates on case developments
  • Handle administrative tasks to free up the attorney's time for litigation work
  • Maintain organized records and communications through cloud-based systems
  • Provide professional client service that reflects well on the firm
Must-Have Requirements
  • Excellent English communication skills, both written and verbal, that clients can easily understand
  • Proven experience in administrative support or personal assistant roles
  • Strong organizational skills with ability to manage multiple priorities and appointments
  • Comfortable learning new information quickly and retaining case details
  • Professional phone manner and client service orientation
  • Experience working with cloud-based systems and technology
  • Ability to work independently while maintaining close communication with the attorney
  • Reliable and detail-oriented work style
Nice-to-Have Requirements
  • Bonus if you have experience in a legal environment or law firm setting
  • It helps if you're bilingual in English and Spanish
  • Bonus if you have experience communicating with clients about case status or project updates
  • It helps if you're familiar with Microsoft Teams and Microsoft 365 tools
