Simpro Systems & Trade Operations Specialist

Job Overview

Our client is looking for a Simpro Systems & Trade Operations Specialist to serve as a reliable single source of truth across the business. The specialist will be responsible for optimizing system access, improving scheduling and job costing, maintaining accurate inventory and asset data, supporting multi-entity operations, and documenting critical business processes.

Schedule

Monday to Friday, 8am to 5pm Sydney time | 40 hours per week 

Responsibilities

  • Access Control & Security: Audit and restructure Simpro security levels across both entities to restrict sensitive financial data based on least-privilege principles.
  • Scheduling & Labour Optimization: Transition from spreadsheet scheduling to Simpro rostering, configure precise job costing (productive, unproductive, and leave time), and streamline cross-entity operations.
  • Workflow Automation & Templates: Build job scripts, e-forms, customer pricing tiers, and standardized templates for quotes, recurring workflows, and hire agreements.
  • Inventory & Price Book Overhaul: Clean up legacy price books/catalogues, resolve stock discrepancies, and implement strict SOPs for purchasing, stocktakes, adjustments, and min/max stock levels.
  • Asset & Hire Management: Migrate ~500 hire assets into Simpro to centralize equipment scheduling, maintenance tracking, and monthly hire billing.
  • Intercompany Efficiency: Optimize cross-entity workflows to reduce unnecessary intercompany transactions while maintaining financial accountability.
  • SOPs & Knowledge Base: Capture tribal knowledge to create comprehensive, searchable SOPs and documentation covering Simpro processes and operational workflows.
  • Continuous Improvement & Growth: Automate repetitive administrative tasks and support future tech initiatives (CRM, supplier price comparisons, tendering, and client follow-ups).

Requirements

  • Proven hands-on experience with Simpro, ideally including system configuration, administration, or implementation within a multi-company or complex operational environment
  • Strong understanding of Simpro permissions, scheduling, job costing, inventory, purchasing, and asset management
  • Demonstrated ability to audit systems, identify data issues, and implement process improvements
  • Demonstrated experience creating Standard Operating Procedures (SOPs), workflows, and process documentation
  • Understanding of inventory management, purchasing, stock control, scheduling, job costing, and asset management principles
  • Experience managing or cleaning large volumes of historical or legacy data is highly desirable
