Our client is seeking an exceptionally organized Australian Real Estate Sales Administrator - AgentBox to take end-to-end accountability for administrative workflows, calendar priorities, and listing coordination. In this role, you will act as the operational engine—managing the AgentBox CRM database, preparing daily prospecting call lists, driving listing setups, and coordinating with internal administrative teams through settlement. Your main objective is to eliminate non-dollar-productive tasks from the agent's daily workload while ensuring zero leads, deadlines, or appraisal follow-ups slip through the cracks.

Client Overview:

Our client is a high-producing Australian real estate professional expanding their operational support. Focused on driving growth, vendor management, and prospecting, they require a proactive remote Real Estate Administrative Assistant to manage the end-to-end listing-to-settlement pipeline, CRM data integrity, and daily schedule coordination.

Schedule:

Monday - Friday, 8:30 AM - 12:30 PM AEST Airlie Beach QLD (20 work hours per week)

Responsibilities:

Executive Priority & Calendar Management

  • Proactively manage the agent's daily priorities, schedule, and outstanding task queues.
  • Follow up directly with the agent when actions, reviews, or approvals are overdue.
  • Coordinate and track all critical calendar dates, including photography bookings, marketing drop dates, building and pest inspections, finance deadlines, unconditional dates, and final settlements.

Pipeline Management & Prospecting Support

  • Actively manage the appraisal and listing pipeline in AgentBox, ensuring every appraisal maintains an active status, designated next action, and assigned follow-up date.
  • Maintain complete CRM database accuracy, ensuring contacts and opportunities are systematically tracked.
  • Prepare daily prospecting and follow-up call lists so the agent can execute calls without administrative delay.

Listing-to-Settlement Coordination

  • Take overall accountability for the end-to-end listing workflow from signed authority to sell through to settlement.
  • Gather necessary vendor documentation, including rates notices and contract materials.
  • Coordinate property marketing by booking photographers, handling listing data entry, and verifying property setups.
  • Liaise with in-house administrative teams to delegate and track secondary tasks, ensuring completion without duplicating effort.
  • Prepare settlement arrangements, including organizing vendor gifts, cards, and required handover items.

Marketing & Administrative Operations

  • Create and schedule social media content using pre-built templates (e.g., Coming Soon, Just Listed, Just Sold, and testimonial carousels).
  • Coordinate routine letterbox drop campaigns and localized print marketing.
  • Handle daily routine email correspondence, database cleanups, and administrative tasks.

Requirements:

  • Prior experience in real estate administration, sales support, or property coordination (Australian market experience is strongly preferred).
  • Hands-on experience navigating and managing real estate CRMs (specifically AgentBox or similar systems).
  • Strong initiative to manage up, hold agents accountable to deadlines, and operate independently without micro-management.
  • Meticulous oversight regarding document collection, pipeline statuses, and critical legal/contractual dates.
  • High-level written and verbal English skills for professional correspondence with vendors, clients, and internal partners.

  • Real Estate CRM: AgentBox (or equivalent AU real estate CRM platform)
  • Social & Design: Canva (templated carousels), Meta Business Suite
  • Productivity: Microsoft 365 / Google Workspace, Zoom, Slack/Teams
