Job Overview
An online community platform is seeking an Events & Operations Administrator to manage the day-to-day coordination of webinars, conferences, and member communications. In this remote role, you will execute weekly event checklists in Trello, schedule mailings via MailChimp, and update website content in WordPress. You will also manage Zoom links, light Canva graphic edits, and CRM records in FluentCRM. This position is ideal for a highly organized professional skilled at executing recurring operational tasks with speed and accuracy.
Schedule: Mon-Fri, flexible within client business hours, UK time (20 hours per week)
Responsibilities
- Coordinate and support weekly webinars and periodic conferences, working through event checklists in Trello
- Gather and format the weekly community events digest, incorporating submissions from partner organisations
- Format, schedule and send event and member mailings using MailChimp and Gmail, from copy prepared by our team
- Update existing event and website pages through WordPress
- Make light, template-based edits to existing promotional graphics and posters using Canva – not original design work
- Upload approved graphics to social media channels (Instagram, Meta)
- Schedule and manage Zoom meetings, including acting as backup host for one weekly event
- Maintain member records using FluentCRM and FluentCommunity, and manage forms via WPForms
- Collaborate with the team through Slack and Google Workspace
- Maintain accurate records of tickets, mailings and event activity, including weekly data pulls
- Act as backstop on our scheduled and automated email sends, verifying they have gone out and stepping in if not
Must-Have Requirements
- Previous experience in administrative, operations or events-support roles
- Strong proficiency with:
- Trello
- MailChimp
- WordPress (page edits)
- FluentCRM and FluentCommunity
- WPForms
- Canva (template-based edits)
- Zoom
- Slack
- Google Workspace (Docs, Sheets, Drive, Forms)
- Clear, accurate written English for formatting, routing and light editing – this is a formatting and execution role, not a copywriting role
- Excellent attention to detail and a good eye for spotting when a document, mailing or graphic doesn't look right
- Calm reliability under recurring weekly deadlines
- Comfort following documented procedures, with initiative on exceptions
- Comfortable working independently with minimal supervision
