Job Description

You will serve as the primary point of contact for client follow-ups, certificate of insurance requests, and ongoing customer relationship management. This role puts you at the center of customer retention efforts, where your attention to detail and communication skills will directly impact client satisfaction. You'll manage a variety of administrative and data entry tasks while building genuine connections with customers through email and phone outreach. This is an excellent opportunity for someone who thrives in a structured environment and enjoys the mix of relationship-building and systematic operational work.

Schedule: Mon-Fri 8:00 AM - 5:00 PM Central Time Client Timezone: Central Time (US)

Responsibilities

  • Follow up with clients on certificate of insurance (COI) requests and ensure timely delivery.

  • Conduct biannual check-ins with existing customers to verify and update contact information.

  • Manage data entry tasks and maintain accuracy across customer databases.

  • Respond to client requests via email and phone with professionalism and clarity.

  • Update and maintain the postcard database for new customer needs Handle ad-hoc tasks and requests as they arise throughout the day.

  • Ensure all customer records are current, complete, and properly documented.

  • Communicate proactively with internal team members about client status and needs.

Must-Have Requirements

  • Excellent written and verbal communication skills in English

  • Strong attention to detail and accuracy in all work

  • Proficiency in Microsoft Excel and Word

  • Comfortable with data entry and repetitive administrative tasks

  • Ability to learn new software systems quickly

  • Reliable and responsive communication style Willing to make phone calls to clients when needed

Nice-to-Have Requirements

  • Bonus if you have prior experience in customer service or client support roles

  • It helps if you're familiar with insurance industry terminology

  • Bonus if you have experience managing databases or CRM systems
