Job Overview
Our client is looking for a highly organized and proactive Strategic Project Manager to support senior leadership in coordinating a variety of projects and initiatives across the group.
The role will work closely with senior leadership, including the Group CEO, across projects spanning different functions and entities. Rather than being responsible for one specific department, the Strategic Project Manager will provide cross-functional project support—maintaining project trackers, following up with stakeholders, monitoring deadlines, and ensuring that action items continue moving forward. The ideal candidate has project management experience and is exceptionally organized, detail-oriented, and proactive.
The ability to consistently follow up, identify potential delays, and keep stakeholders accountable is more important than specific industry experience.
Schedule: Flexible, Monday - Friday, Ontario, Toronto Time (20 work hours per week)
Responsibilities
- Partner with senior leadership to coordinate and support multiple projects and business initiatives.
- Maintain project plans, timelines, action registers, and status trackers across concurrent initiatives.
- Track outstanding action items and proactively follow up with internal and external stakeholders.
- Monitor project progress and flag potential delays, risks, or bottlenecks to leadership.
- Coordinate communication and follow-ups between executives, department leaders, internal teams, and external partners.
- Ensure project owners are clear on their responsibilities, deadlines, and outstanding deliverables.
- Prepare regular project status updates and reports for leadership.
- Organize project documentation, meeting notes, action items, and other project-related information.
- Help maintain visibility across competing priorities and ensure important deliverables remain on track.
- Support both large-scale strategic initiatives and smaller operational projects as assigned.
- Assist with ad hoc research, coordination, and administrative tasks related to ongoing projects.
- Identify opportunities to improve project tracking, communication, and execution processes.
Requirements
- 3–5 years of professional Project Management experience or experience in a similar project-focused role.
- Demonstrated experience managing multiple projects, workstreams, or initiatives simultaneously.
- Exceptional organizational and time-management skills with strong attention to detail.
- Strong follow-up and stakeholder coordination skills.
- Ability to proactively identify issues, delays, and dependencies and bring them to the appropriate person's attention.
- Strong written and verbal English communication skills.
- Strong critical thinking and problem-solving abilities.
- Ability to work independently while following established priorities and direction from senior leadership.
- Comfortable working with executives and stakeholders across different functions.
- Ability to work during Toronto business hours, with sufficient schedule overlap for real-time coordination.
Preferred Qualifications
- Experience in asset management, investment management, financial services, or finance.
- Experience supporting cross-functional or international teams.
- Previous experience working directly with senior executives or leadership teams.
- Familiarity with AI productivity tools such as ChatGPT, Claude, Claude Code, Cowork, Cursor, or similar platforms.
- Experience with project management and collaboration tools such as Asana, ClickUp, Monday.com, Jira, Notion, or similar platforms.
