Job Overview
Our client is seeking an organized, detail-driven Product & Procurement Coordinator (Logistics) to provide administrative and operational support across the business. Reporting directly to the Executive Leadership team, you will ensure master product data is entered accurately, create and track purchase orders, organize executive travel, and monitor inbound freight shipments from suppliers to the warehouse. This role is ideal for a proactive coordinator who thrives on data accuracy, clear supplier communication, and keeping back-office workflows moving smoothly without letting details fall through the cracks.
Schedule
Monday - Friday, 9:00 AM - 5:00 PM AEST / AEDT, with 30 minutes paid break (40 work hours per week)
Responsibilities
- Executive & Leadership Support: Manage travel itineraries, trade show bookings, supplier visits, and daily schedules for executive buy trips; provide day-to-day administrative support to executive leadership while maintaining strict confidentiality around commercial data; assist with preparing operational reports, meeting materials, presentations, and executive action trackers.
- Data & Systems Administration: Execute master data entry for all new SKUs and product creations in master spreadsheets following internal business rules; maintain complete product, supplier, purchase order, and inventory records across internal systems (ERP/spreadsheets); perform regular data integrity checks to detect and correct duplicate, missing, or mismatched product information; attend virtual supplier meetings on Microsoft Teams as needed to capture SKU-level meeting notes and order details.
- Buying Administration: Generate, update, and track purchase orders (POs) across the entire buying cycle; maintain accurate records of supplier costs, order quantities, delivery windows, and item specifications; send POs to suppliers, follow up on order confirmations, and reconcile PO details against supplier invoices; notify internal Buying and Merchandising teams of any changes to quantities, costs, or delivery timelines.
- Logistics & Inbound Coordination: Track inbound shipments from supplier confirmation through to final warehouse delivery; maintain up-to-date freight trackers, shipment ETAs, and logistics documentation in coordination with freight forwarders; proactively identify potential shipping delays, escalate delivery risks, and keep internal teams informed.
Requirements
- Data Accuracy: Meticulous approach to SKU management, order entry, and master data validation.
- Logistics & PO Knowledge: Working knowledge of purchase order lifecycles, supplier follow-ups, and inbound freight tracking.
- Software Proficiency: Strong skills in Excel/Google Sheets and comfort using inventory/ERP platforms.
- Communication & Discretion: Excellent written and verbal English skills paired with professional discretion when handling executive communications.
Qualifications
- Preferred: 2+ years of experience in an Operations Coordinator, Buying Assistant, Executive Assistant, or Merchandise Administration role (fashion, retail, or e-commerce background highly regarded).
