Senior Offshore HR Operations Specialist

Overview

We are seeking an experienced and highly organized Senior Offshore HR Operations Specialist to support our Human Resources team with advanced administrative, data management, and process-driven initiatives. This role requires a seasoned HR operations professional who can independently manage complex workflows, ensure accuracy, compliance, and timely follow-through across HR systems, onboarding, reporting, and documentation — with a strong emphasis on data integrity, regulatory compliance, and audit readiness.

Schedule: Monday to Friday 8:30 AM to 5 PM  PDT Time Zone

Key Responsibilities

HR Data Management & Systems Support

  • Perform and oversee data entry for faculty assignments through Personnel Action Forms (PAFs)
  • Enter, maintain, and audit employee and student hiring data in HRIS systems, with Paycom as the primary platform
  • Lead ongoing data review, cleanup initiatives, and proactively identify and resolve data integrity issues across systems
  • Manage document retention processes, including organizing and archiving records from DocuSign/SoftDocs

Onboarding & Employee Lifecycle Support

  • Own and manage new hire onboarding processes end-to-end, including preparing hiring packets, drafting and sending offer letters, and initiating and tracking background check completion
  • Ensure completion and accuracy of new hire paperwork, including I-9 documentation, in coordination with authorized representatives
  • Monitor and drive completion of staff and faculty annual/bi-annual training requirements and onboarding milestones
  • Process Personnel Action Forms (PAFs), including updating supervisor relationships and executing HR data corrections in Paycom
  • Prepare termination packets and manage offboarding processes with minimal oversight
  • Conduct employment verifications as requested

Contract & Documentation Management

  • Upload, track, and manage employee contracts within internal systems
  • Monitor signature approvals and proactively follow up on outstanding items
  • Conduct routine audits and follow-ups on missing job descriptions (JDs) and supporting documentation

Payroll & Hiring Support

  • Support payroll review processes, identifying and flagging discrepancies as needed
  • Review student hiring forms for completeness and accuracy
  • Oversee onboarding and documentation tracking for student employees
  • Search and retrieve job descriptions from internal drives; build and configure positions within Paycom, including adding job descriptions to support the requisition process

Reporting & Compliance

  • Run, produce, and refine routine HR reports based on predefined templates
  • Track, maintain, and distribute monthly compliance reports (e.g., active hourly employees not recording time)
  • Support the development and distribution of automated reports under the direction of HR Managers, ensuring consistent, accurate execution and delivery

Qualifications

  • 4+ years of experience in HR operations, administrative support, or data management
  • Required: Hands-on experience working in Paycom (data entry, PAF processing, position/requisition setup)
  • Demonstrated ability to work independently and manage complex, multi-step HR processes with minimal supervision
  • Strong attention to detail and accuracy in data entry and documentation
  • Excellent organizational and follow-up skills
  • Ability to manage multiple priorities and meet deadlines in a remote environment
  • Strong written communication skills

Preferred Skills

  • Solid working knowledge of onboarding, I-9 compliance, and HR documentation processes
  • Experience with document management systems (e.g., DocuSign, SoftDocs)
  • Working understanding of payroll processes
  • Advanced proficiency in Excel or reporting tools
