Recruitment Coordinator

Job Overview

Our client is looking for a highly organised and detail-oriented Recruitment Coordinator to support their recruitment team. This role is split equally between Recruitment (50%) and Administration & Document Validation (50%). The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple candidates and administrative requirements efficiently.

Schedule: Monday - Friday, 9:00 AM - 6:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities:

Recruitment – 50%

  • Support the end-to-end recruitment process from sourcing through onboarding.
  • Post job advertisements and source candidates through various recruitment channels.
  • Screen resumes and conduct initial candidate interviews.
  • Coordinate interviews between candidates, recruiters, and hiring managers.
  • Maintain accurate candidate records and recruitment trackers.
  • Communicate with candidates and provide timely updates throughout the recruitment process.
  • Assist with candidate onboarding and recruitment reporting.

Administration & Document Validation – 50%

  • Collect, review, and validate candidate pre-employment documents and requirements.
  • Ensure documents are complete, accurate, valid, and aligned with role and client requirements.
  • Follow up with candidates regarding missing, incomplete, or expired documents.
  • Maintain organised and up-to-date candidate files and recruitment records.
  • Coordinate reference checks, background checks, and other pre-employment requirements.
  • Monitor outstanding requirements and ensure documentation is completed before onboarding.
  • Identify and escalate discrepancies or issues with candidate documentation when required.
  • Assist recruiters with recruitment-related administrative tasks and reporting.

Requirements

  • 1–2 years of experience in recruitment, HR, administration, or a similar role.
  • Experience in recruitment coordination and/or document validation is preferred.
  • Strong attention to detail and organisational skills.
  • Good written and verbal communication skills.
  • Proficient in Microsoft Office and Google Workspace.
