Operations & Administration Coordinator

Job Overview

Our client is looking for an Operations & Administration Coordinator to serve as a critical driver of the operational sustainability and scalability of their business. By taking ownership of high-volume administrative, financial, and data management tasks, you will establish reliable operational redundancy and eliminate key-person risks. Your work will directly enable leadership to transition from reactive daily operations to proactive, high-value relationship building and strategic growth.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM Sydney Time (40 hours per week)

Responsibilities

  • Systematically transfer new job data between BuilderTrend and Simpro, ensuring 100% data integrity.
  • Perform daily data entry for back-office records in Simpro and Xero, and organize company files within Dropbox.
  • Process supplier invoices, manage expense claims, and prepare weekly remittances.
  • Audit job invoices against individual projects, verify labor and material allocations, and track job profitability data.
  • Proactively manage the owner's email inbox and calendar, prioritizing critical communications and scheduling meetings.
  • Follow up on outstanding quotes and communicate job progress updates to builders and clients.
  • Coordinate company vehicle maintenance scheduling and material delivery schedules with suppliers.
  • Document existing administrative workflows and create comprehensive Standard Operating Procedures (SOPs) to build a searchable operational knowledge base.

Requirements

  • Experience & Technical Skills: Proven experience in administrative support, data entry, and back-office coordination. Familiarity with job management and accounting software (experience with Simpro, Xero, and BuilderTrend is highly advantageous).
  • Financial Administration: Strong financial administration skills, including processing invoices, tracking job costs, and sending remittances.
  • Communication & Coordination: Excellent written and verbal communication skills for coordinating smoothly with internal teams, builders, and clients.
  • Organization & Detail: Exceptional organizational skills with strict attention to detail for maintaining reliable data integrity.
  • Process Documentation: Experience in creating Standard Operating Procedures (SOPs) and documenting business workflows.
  • Executive Support: Ability to proactively manage email inboxes and calendars for busy executives.

  • Maintain a high level of accuracy and confidentiality when handling financial and job profitability data.
  • Be proactive in identifying areas for system optimization, particularly within Simpro and document management workflows.
  • Engage collaboratively with the team, demonstrating a pragmatic, solution-focused, and adaptable mindset.
  • Participate in weekly training and process improvement sessions to continuously enhance operations.
  • Work independently to manage daily tasks while keeping the team informed of progress, bottlenecks, and critical updates.
