Our client is looking for a Booking & Customer Support Administrator to keep bookings organized and customers delighted. This role puts you at the center of customer communication, instructor coordination, and invoicing workflows. You'll manage email correspondence with warmth and professionalism, coordinate instructor availability through WhatsApp, and ensure every booking moves smoothly from inquiry to confirmation. Your attention to detail and friendly tone will make customers feel valued while keeping operations running seamlessly throughout the week.

Client Overview

Our client is a fishing instruction school based in North Yorkshire, UK, offering professional fishing services and guided experiences. The company works with a team of four specialized fishing instructors and serves customers looking to book fishing instruction days and services. They operate with a streamlined booking and invoicing system designed to match clients with the right instructors.

Schedule

Monday - Friday, Flexible Hours [BST] (20 work hours per week)

Responsibilities

  • Manage and respond to customer emails with polite, enthusiastic, and professional communication
  • Send and track invoices using the Xero invoicing platform
  • Coordinate instructor availability by posting booking requests in the instructor WhatsApp group
  • Match customer requests with available instructors based on scheduling guidelines and instructor specializations
  • Send booking confirmations to customers after payment is received
  • Monitor Gmail regularly throughout weekdays to maintain a steady workflow
  • Learn and apply the multi-step booking process according to documented procedures
  • Forward phone inquiries and complex customer questions to management as needed
  • Maintain an understanding of which instructors handle which services and scheduling preferences

Requirements

  • Experience working with Excel spreadsheets
  • Experience sending invoices through accounting platforms
  • Strong written communication skills with a warm, customer-focused tone
  • Ability to manage email correspondence professionally and enthusiastically
  • Comfortable using WhatsApp for team coordination
  • Reliable availability spread across weekdays with flexible scheduling
  • Self-directed work style with the ability to follow documented procedures
