Overview

We are seeking a compassionate, highly organized, and detail-oriented Legal Intake Specialist to serve as one of the first points of contact for prospective clients seeking legal assistance. In this fully remote, client-facing role, you will speak with disabled veterans and their family members to gather sensitive legal and medical information with the utmost empathy and professionalism. This is an incredible opportunity for professionals in Latin America to utilize their communication skills and sound judgment to help guide prospective clients through the firm's intake process.

Responsibilities

Client Intake & Communication

  • Serve as the first point of contact for prospective clients and their families.
  • Conduct structured intake interviews via phone and video conference.
  • Gather detailed information regarding disability, employment, medical history, veterans' benefits, and legal concerns.
  • Screen potential matters using established firm intake guidelines.
  • Clearly explain the firm's intake process, documentation requirements, and next steps.
  • Schedule consultations and follow-up appointments as needed.
  • Maintain professional, empathetic communication throughout every interaction.

Case & Information Management

  • Accurately document intake conversations within the firm's CRM or case management system.
  • Track follow-up activities, missing documentation, deadlines, and case status.
  • Organize client records while maintaining strict confidentiality.
  • Coordinate with attorneys, paralegals, and intake staff to move qualified matters through the intake pipeline.

Administrative & Operational Support

  • Assist in improving intake workflows, scripts, and client experience.
  • Maintain organized calendars and communication records.
  • Participate in regular video meetings with attorneys and staff.
  • Ensure all work complies with established legal and operational procedures.

Requirements

Required Qualifications

  • Excellent spoken and written English.

  • Professional phone and video-call presence.
  • Strong ability to build rapport while maintaining professional boundaries.
  • Excellent attention to detail.
  • Strong organizational and documentation skills.
  • Ability to accurately summarize conversations and record detailed notes.
  • High emotional intelligence and empathy.
  • Ability to handle confidential legal and medical information with discretion.
  • Comfortable discussing disability, healthcare, employment, trauma, and benefits-related matters.
  • Experience using CRM systems, calendars, email, video conferencing, and cloud-based software.
  • Ability to work independently in a fully remote environment.
  • Ability to work during U.S. business hours.
  • Understanding of the difference between legal information and legal advice.

Preferred Qualifications

  • Previous law firm intake experience.
  • Experience supporting U.S.-based law firms, healthcare organizations, or professional services firms.
  • Experience working with U.S. clients.
  • Background in: Legal Intake, Paralegal, Legal Assistant, Customer Success, Healthcare Intake, Administrative Support, or Sales Support.
  • Experience using: Clio, Lawmatics, HubSpot, Salesforce, ActiveCampaign, GoHighLevel, or similar CRM/case management systems.
  • Experience handling confidential legal, financial, or medical information.
  • Experience supporting veterans, disability claims, healthcare, or legal services is an advantage but not required.
