Job Overview

Our client is seeking an experienced Legal Executive Assistant with strong legal and franchise administration background to provide high-level administrative support to senior leadership and oversee cross-border legal and franchise compliance matters.

Schedule

Monday - Friday, flexible working hours based on client needs, Australian Eastern Time (40 work hours per week)

Responsibilities

Legal Responsibilities

  • Agreement & Documentation Management: Draft and issue Franchise Agreements, Success Packs, warning/breach notices, and cross-border legal documents across AU, NZ, and US jurisdictions.
  • Compliance & Dispute Resolution: Handle legal inquiries from franchise partners, resolve royalty disputes, and manage ongoing partner compliance.

Executive Assistant Responsibilities

  • Executive Support & Calendar Management: Oversee leadership's day-to-day administration, schedule meetings, monitor inbox correspondence, and act as the main liaison for internal and external stakeholders.
  • Meeting & Deliverable Coordination: Prepare agendas, record minutes, manage follow-ups, track critical deadlines, and proactively ensure task completion across teams.
  • Document Management & Confidentiality: Draft reports, presentations, and contracts while securely maintaining confidential records with high discretion.
  • Project & Research Assistance: Support leadership with ad hoc administrative tasks, strategic research, and operational project coordination.

Franchise & Business Administration

  • Franchise Operations & Support: Administer onboarding, manage ongoing partner documentation, and maintain updated franchise records.
  • Partner Communication & Compliance: Follow up on outstanding agreements or queries and coordinate with internal teams to resolve partner issues promptly.

Requirements

  • 3–5+ years of proven experience as an Executive Assistant, preferably supporting senior executives, business owners, or leadership teams
  • Previous experience handling legal, contractual, compliance, or franchise-related documentation
  • Strong experience managing calendars, emails, meetings, correspondence, documents, follow-ups, and competing priorities
  • Excellent written and verbal English communication skills, with confidence communicating with senior leaders, clients, franchise partners, and external stakeholders
  • Ability to handle sensitive and confidential information with a high level of discretion and professionalism
  • Strong proficiency in Microsoft Office and/or Google Workspace and ability to adapt quickly to new systems

Qualifications

  • Experience drafting, reviewing, issuing, or coordinating contracts, agreements, notices, and formal correspondence is highly desirable
  • Experience working with Australian businesses or stakeholders is highly desirable; exposure to New Zealand and US matters is an advantage
  • Legal studies, Paralegal qualification, Legal Assistant experience, or relevant contract/franchise experience is an advantage but not mandatory
