Overview

We are seeking a compassionate and customer-focused Medical Appointment Setter to manage inbound leads generated through Facebook advertising campaigns and convert qualified prospects into scheduled appointments. This role serves as the first point of contact for prospective patients, guiding them through sensitive health-related conversations with empathy and professionalism. The ideal candidate has experience in lead qualification, appointment setting, or medical front desk support and is comfortable discussing various health conditions while building trust with prospective patients. This is an excellent opportunity for someone who enjoys helping others, thrives in a phone-based role, and can manage patient information with a high level of accuracy and discretion.

Schedule: 10:00 AM - 6:00 PM Pacific Time (California), Monday-Friday with 1 hr unpaid break

Responsibilities

• Answer and manage inbound leads generated through Facebook ad campaigns using an automated call-forwarding system
• Qualify prospects by following condition-specific scripts (pelvic floor, back pain, neuropathy, knee, regenerative medicine) and adapting approach based on lead type
• Guide hesitant or confused leads through a warm, empathetic conversation to build trust and encourage engagement
• Schedule qualified leads for appointments using the clinic's cloud-based EMR system
• Track lead interactions, call outcomes, and conversion metrics within Go High Level CRM
• Provide daily reports on call volume, dials, and scheduling rates to support workload and performance monitoring

Requirements

• Previous experience in lead qualification, appointment setting, or medical front desk support
• Experience using Go High Level or similar CRM platforms (must)
• Ability to handle sensitive medical topics with professionalism, empathy, and discretion
• Strong verbal communication skills with a warm, professional phone presence
• Ability to remain composed and professional when handling difficult or uncooperative callers
• High level of attention to detail when managing schedules and patient information
