We are seeking a high-performing AU Property Management Lead Generator (PropertyMe) to drive client acquisition while providing specialized portfolio administration. This dynamic role requires 5–7+ years of hands-on AU property management experience, deep operational industry knowledge, and strong expertise in PropertyMe to seamlessly manage landlord and tenant communications. If you combine exceptional communication skills with the drive to build property management pipelines, step into a position that directly impacts business growth.
Schedule:
Monday - Friday, 9:00 AM - 6:00 PM AEST, with 1 hour unpaid break (40 work hours per week)
Responsibilities:
Lead Generation & Business Development
- Take primary ownership of outbound prospecting and lead generation activities.
- Research active property listings, private landlords, property owners, and other potential prospects.
- Identify opportunities for new property management portfolios and residential property sales.
- Conduct consistent outbound calls to Australian property owners and prospective clients.
- Introduce the company's property management and sales services in a professional and engaging manner.
- Qualify prospects by understanding their property, current circumstances, needs, and potential fit.
- Build rapport and establish relationships with prospective landlords, property owners, and sellers.
- Convert qualified prospects into appointments and opportunities for the Director.
- Build and maintain an organised pipeline of prospective landlords, sellers, and other opportunities.
- Follow up consistently with prospects who require additional nurturing.
- Develop and implement proactive prospecting strategies to identify new opportunities.
- Track calls, conversations, appointments, and outcomes to improve prospecting performance.
- Take initiative in identifying new lead sources and opportunities rather than relying solely on assigned lists.
Property Management Operations
- Provide administrative support across the property management portfolio.
- Manage property management administration through PropertyMe.
- Maintain accurate and up-to-date tenant, landlord, and property records.
- Handle routine landlord and tenant communications professionally and efficiently.
- Process end-of-month trust account disbursements and prepare ABA files for bank uploads.
- Maintain accurate documentation, records, and compliance information.
- Assist with property management administration and follow-up tasks as required.
- Support the Director with operational matters requiring strong property management knowledge and experience.
- Ensure property management tasks are completed accurately and within required timeframes.
Client & Stakeholder Communication
- Handle inbound calls and enquiries from tenants, landlords, property owners, and prospective clients.
- Respond to enquiries promptly and professionally.
- Communicate confidently with Australian property owners and landlords.
- Build positive relationships with clients, prospects, tenants, and other stakeholders.
- Maintain clear and accurate records of important communications and follow-ups.
- Identify matters requiring the Director's attention and escalate appropriately.
- Represent the business professionally across all client and prospect interactions.
CRM, Pipeline & Reporting
- Maintain accurate prospect, client, property, and communication records.
- Record outbound calls, conversations, follow-ups, appointments, and outcomes.
- Keep the sales and property management pipeline organised and up to date.
- Monitor lead generation activity and appointment-setting performance.
- Provide regular reporting on prospecting activity, qualified leads, appointments, and pipeline opportunities.
- Track conversion outcomes and identify opportunities to improve lead generation performance.
- Ensure administrative and business development activities are completed accurately and on schedule.
Requirements:
- Minimum 5–7 years of solid, hands-on experience in Australian residential property management.
- Extensive experience managing landlords, tenants, residential properties, and day-to-day property management administration.
- Strong understanding of Australian property management operations and industry processes.
- Demonstrated experience using PropertyMe or similar property management software.
- Proven experience in outbound prospecting, lead generation, appointment setting, or business development within the Australian real estate industry.
- Strong experience with trust accounting, end-of-month disbursements, ABA file preparation, and property management compliance.
- Fluent in English, with excellent verbal and written communication skills.
- Highly confident and professional when conducting outbound calls with Australian property owners, landlords, and prospective clients.
- Ability to build rapport quickly and establish trust over the phone.
- Strong understanding of residential property management and the Australian property market.
- Commercially minded with a clear understanding of how prospecting contributes to business growth.
- Highly proactive, self-motivated, and comfortable taking ownership of daily activities and targets.
- Strong follow-up skills and ability to consistently manage a prospect pipeline.
- Excellent organisational skills and exceptional attention to detail.
- Ability to manage multiple priorities while maintaining accurate records.
- Comfortable working independently with minimal supervision.
- Reliable internet connection and professional remote working environment.
Qualifications:
- Experience working across both residential property management and property sales.
- Previous success securing landlord appointments, property management opportunities, property appraisals, or sales listings.
- Experience prospecting owners of properties currently listed for sale or rent.
- Demonstrated success converting outbound calls into qualified leads or appointments.
- Experience handling trust accounting, end-of-month disbursements, and ABA file preparation.
- Familiarity with Australian state-based real estate legislation and industry practices.
- Experience working directly with a Real Estate Principal, Director, or business owner.
- Previous experience working in a remote or virtual real estate environment.
