Medical Office Administrator

Position Overview:

We are seeking a highly capable and experienced Medical Office Administrator to join our team. This is a full-time, multifaceted role that goes beyond traditional call handling. The ideal candidate will be a central point of contact for our clients, managing administrative tasks, and ensuring a seamless patient journey. You will be responsible for a variety of tasks from client communication to insurance invoicing, requiring a high degree of organization, professionalism, and attention to detail.

About the Client:

A dedicated audiology clinic committed to providing exceptional patient care.

Schedule:

  • Mondays to Fridays, starting between 8:00 am and 9:00 am (UK Time), with a 30-minute unpaid break (40 hours per week)

Key Responsibilities:

  • Client Communication: Serve as the first point of contact, handling incoming phone calls, emails, and text messages with a clear and professional demeanor suitable for the UK market.
  • Appointment Management: Utilize our Blueprint CRM system to book and manage client appointments efficiently.
  • Administrative Support: Perform a range of administrative duties, including gathering patient information, requesting insurance details, and ensuring referral letters are correctly uploaded to the CRM.
  • Insurance & Invoicing: Manage medical insurance claims, including submitting invoices and following up on payments. This is a primary function of the role.
  • Team Collaboration: Communicate effectively with the internal team using tools like WhatsApp, email, and CRM notes to ensure continuity of care.

Secondary Responsibilities (as time permits)

  • Content & Marketing Support: Assist with creating content for the company website or liaising with our marketing team on various initiatives.

Qualifications and Skills:

  • Experience: Proven experience in a medical administration, virtual assistant, or client support role. Previous experience working remotely is highly advantageous.
  • Technical Skills: Proficient in using CRM systems (experience with Blueprint CRM is a plus) and other communication tools.
  • Communication: Exceptional verbal and written communication skills. Must have a clear, easily understandable accent for the UK market.
  • Medical Insurance: Demonstrable experience with medical insurance claims and invoicing processes.
  • Compliance: Working knowledge of data protection regulations such as GDPR is required.
  • Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively in a remote setting.
