Job Overview

Our client is looking for a Real Estate Bookkeeper (QuickBooks) to support real estate business operations with a focus on QuickBooks management and rent collection processes. The position requires approximately 20-25 hours per week with potential to expand to full-time for the right candidate. The role combines general bookkeeping duties with real estate-specific tasks, including rent roll management and tenant communication.

Client Overview

The client operates multiple real estate businesses focused on property management and rental income tracking. The company is in a startup phase and requires systematic bookkeeping support to manage financial operations across their portfolio.

Schedule

  • Monday - Friday, Hours TBD Eastern Standard Time (EST) (20-25 work hours per week)

Responsibilities

  • Perform general bookkeeping tasks, including bank reconciliations and generating weekly or monthly financial reports in QuickBooks.
  • Manage the rent roll by recording incoming rental payments against generated invoices and maintaining an active tracking system to monitor payment status.
  • Follow up with tenants via email regarding outstanding rent payments, rent increases, late fees, and other time-sensitive lease information.
  • Update and maintain information databases when new leases are executed or when lease terms require documentation.
  • Categorize transactions in QuickBooks and create invoices as needed for rental properties.
  • Generate financial reports from QuickBooks for management review.
  • Complete ad hoc administrative tasks related to property management as they arise.

Requirements

  • Working knowledge of QuickBooks, including basic navigation, invoice creation, report generation, and transaction categorization.
  • Understanding of fundamental accounting principles, including income, expenses, and basic bookkeeping concepts.
  • Strong attention to detail with the ability to maintain accuracy when processing multiple transactions and reviewing financial data.
  • Professional communication skills for tenant follow-up and clarifying instructions with management.
  • Ability to follow structured onboarding processes and utilize provided training resources, including AI tools and documentation.

Nice-to-have

  • Previous experience in real estate bookkeeping or property management accounting is highly preferred.
  • Familiarity with rent roll management and accounts receivable tracking.
  • Experience using AI tools such as ChatGPT or Claude for problem-solving and workflow efficiency.
  • Process-driven mindset with ability to suggest operational improvements and efficiency enhancements.
  • Critical thinking skills to troubleshoot issues independently before escalating to management.
