Administrative Assistant

Overview

In this role, you will manage the full bookkeeping lifecycle for a portfolio of small business clients while providing vital administrative, customer support, marketing, and e-commerce operations assistance. Schedule:

  • Monday to Friday, 9:00 am to 1:00 PM PT

Responsibilities

  • Serve as a point of contact for client inquiries and provide timely, professional responses
  • Assist in managing helpdesk tickets, email correspondence, and client follow-ups
  • Maintain positive client relationships through clear, proactive communication
  • Assist in identifying new business opportunities through research and prospecting
  • Support sales outreach by preparing proposals, quotes, and follow-up emails
  • Update and maintain CRM systems with lead and client information
  • Assist in creating and scheduling content for social media, email marketing, and blog posts
  • Conduct basic market research to support marketing campaigns and strategies
  • Help track marketing metrics and prepare performance reports
  • Support product listing creation and updates on e-commerce platforms (Shopify, Amazon, etc.)
  • Monitor inventory levels and coordinate with suppliers or fulfilment teams

Requirements

  • Exceptional English communication skills with clear, professional pronunciation
  • Strong customer service orientation with the ability to handle challenging client interactions
  • Proven client-facing experience managing multiple business relationships simultaneously
  • Understanding of financial planning concepts and tax optimization strategies
  • Ability to work independently while managing competing priorities and tight deadlines
  • Experience supporting complex financial strategies beyond basic transaction categorization
  • Availability during standard business hours for direct client communication and collaboration
