Administrative Assistant (QuickBooks)
Overview
Join a growing kitchen and bath design company servicing Westchester and Fairfield County in this dynamic, fully remote administrative role. You will play a pivotal role in streamlining daily business operations, from managing client deliverables and QuickBooks financials to supporting marketing campaigns and tracking design inventory. This is a great opportunity for an organized, proactive professional looking to grow within a creative and collaborative environment.
Schedule:
- Monday to Friday with occasional weekends as needed, still within the 40 hours/week
Responsibilities
Admin Specific Duties
- Manage and oversee daily administrative operations, including info@ email inbox, Asana Project updates, material order support, and saving
- Preparing estimates, client deliverable packages, and follow-up
- QuickBooks – entering estimates, invoices, vendor bills, updating daily bank charges, invoicing clients, sending bills, A/P and A/R reports, and credit card management
- Scheduling Showroom Meetings - coordinating showroom meetings with the designer, note-taking from meetings
- Assisting the office in a supportive capacity
- Support the VP of Operations on the Marketing Campaign
- Send out review emails, post job marketing
- Social media marketing
- Website updates
- Submission of kitchen photographs to various competitions and magazines
Design Support Specific Duties
Showroom Samples
- Work with the Project Coordinator and the VP of Operations to develop a showroom inventory tracking system
- Manage the inventory of our cabinet samples, color samples, and what is borrowed and returned (Process TBD)
Cabinet Brand Specific Duties
- Maintain and update the office on lead times, new catalog and product updates, and discontinuations
- Assist with coordinating showroom visits with all reps
- Support Lead Designer and Design Assistant with cabinet order submission, tracking, reviewing acknowledgements, and reaching out to cabinet manufacturers in a supportive capacity
Requirements
- Minimum of 2 years of experience in an administrative support role
- Proficient with computers and basic Microsoft Office programs
- Excellent time management skills to prioritize tasks and meet deadlines
- Quickbooks experience
- Cabinet design experience preferred but not required
- 2020 Cyncly software experience preferred but not required
- Canva, Wix, Asana, Slack experience helpful but not required
