Bilingual Clinical Coordinator

Job Overview:
We are seeking an experienced, patient-focused Clinical Support Assistant to provide critical administrative and operational support throughout our medical cannabis certification process. Acting as the central link between patients, providers, and clinic operations, you will ensure a seamless and compassionate experience.

This role requires exceptional, fluent English communication skills (written and spoken), proactive problem-solving, and substantial prior experience in healthcare administration or medical office operations. 

Schedule: Remote, Full time | EST time between 8:00am and 6:00pm.

Responsibilities:

  • Primary Patient Support: Serve as the main point of contact, delivering empathetic customer service to resolve patient inquiries and guide them through state medical cannabis registry and certification processes.
  • Clinical & Administrative Prep: Support physicians and Medical Assistants by preparing, organizing, and maintaining accurate electronic patient records and documentation prior to scheduled appointments.
  • Document & Workflow Management: Efficiently process incoming and outgoing eFaxes, upload patient files, and manage daily administrative workflows to keep clinic operations running smoothly.
  • Schedule Optimization: Actively manage and coordinate provider schedules, adjusting block times and rescheduling patient appointments to maximize clinical efficiency and continuity of care.
  • Cross-Functional Collaboration: Partner closely with internal teams, clinical staff, and leadership to assist with daily coverage needs and support evolving operational priorities.
  • Problem Resolution: Act as a proactive problem-solver to address and escalate complex patient or administrative concerns while maintaining a positive experience for all parties.
  • HIPAA & PHI Security: Maintain strict compliance with HIPAA regulations, handling all Protected Health Information (PHI) with the highest standards of confidentiality, accuracy, and security.
  • Regulatory & Policy Compliance: Adhere strictly to federal, state, and organizational guidelines for medical documentation, immediately reporting and escalating any privacy or compliance concerns.

Requirements:

  • Experience & Professional Level: Minimum of 5+ years of experience in healthcare administration, patient support, or clinical coordination; candidates with only internship or entry-level experience will not be considered.
  • Bilingual Communication: Native or professional fluency in both English and Spanish (written and verbal), featuring exceptional phone etiquette, active listening, and the ability to explain complex processes clearly.
  • HIPAA & PHI Expertise: A thorough, proven understanding of HIPAA regulations and healthcare privacy standards, with demonstrated experience securely managing Protected Health Information (PHI).
  • Administrative & Tech Proficiency: Strong experience using electronic medical records (EMR/EHR) systems, document management tools, Microsoft Office, Google Workspace, and eFax platforms.
  • Scheduling & Coordination: Proven track record in high-volume calendar management, appointment scheduling, and coordinating administrative workflows across multi-location or telehealth environments.
  • Patient-Centered Service: A compassionate, patient-first approach with extensive experience managing high-volume phone calls and resolving patient inquiries with empathy and professionalism.
  • Critical Thinking & Adaptability: Strong problem-solving skills, with the ability to think critically, suggest process improvements, and adapt to evolving clinical and operational needs.
  • Organization & Detail Focus: Outstanding organizational skills and a high level of discretion, enabling you to manage multiple priorities independently in a fast-paced, highly regulated clinical environment.
