Construction Project Compliance Coordinator

Job Overview

Our client is seeking an organized and proactive Construction Project Compliance Coordinator to build and manage the administrative and operational backbone of the company. This is a critical role where you will serve as the linchpin connecting the construction site and the main office. By ensuring compliance, smooth communication, and process integrity, the success of this position will directly enable the business to scale, take on larger projects, and improve overall operational efficiency.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM AEST (40 work hours per week)

Responsibilities

  • Manage and track all operational compliance documentation, including daily safety protocols (OH&S) and Inspection and Test Plan (ITP) checklists.
  • Act as the central point for communication, translating field updates and site manager voice memos into actionable tasks within the project management system.
  • Draft and coordinate weekly client updates, progress reports, and selection schedules to ensure a seamless client experience.
  • Provide administrative support to the estimating and procurement process by preparing and sending RFQs, following up with suppliers, and tracking material orders.
  • Proactively chase required information, such as RFIs and variation approvals, from subcontractors, suppliers, and clients to prevent project delays.
  • Develop and maintain a library of Standard Operating Procedures (SOPs) and a central knowledge base for all key administrative processes.

Requirements

  • Proven experience in a project administration or coordination role within the residential or commercial construction industry.
  • High proficiency with construction project management software (e.g., Procore, Buildertrend, or similar platforms).
  • Exceptional organizational skills and a keen eye for detail, especially regarding compliance and quality assurance documentation.
  • Strong, proactive communication skills with the confidence to follow up with team members, subcontractors, and suppliers.
  • Experience supporting the estimating or procurement process, including sending and tracking RFQs.
  • Demonstrated ability to document processes and create clear, concise Standard Operating Procedures (SOPs).
  • Tech-savvy mindset with the ability to quickly learn and adapt to new software and digital tools.
