Our client is seeking a highly skilled, system-minded AI Automation & CRM Systems Specialist to spearhead digital growth and workflow modernization across two distinct, service-based Australian businesses: an end-to-end arboriculture and tree care enterprise, and a dedicated disability support coordination service.
This is an advanced technical position designed for an expert who can architect automated business development funnels and data pipelines rather than a traditional administrative assistant. Your primary objective is to build a scalable, "always-on" lead generation and operations architecture—leveraging cutting-edge AI lookup tools, middleware integrations, and CRM workflows to minimize manual data entries, capture new B2B accounts, and maximize cross-organizational efficiency.

Monday - Friday, 20 hours per week (Part-time remote engagement / 4 hours per day) Note: While daily shift times are flexible, your schedule must be consistently aligned with Australian business hours to ensure real-time collaboration, syncs, and workflow updates.
Key Responsibilities
- AI Workflow Engineering: Design, map, and deploy robust multi-step automation sequences using middleware platforms like Zapier or Make to unify operational tech across both company brands.
- Smart Stack Integration: Connect generative tools (ChatGPT / OpenAI APIs) directly into daily workflows to automate initial customer communications, categorize support requests, and generate outbound sequences.
- Lead Generation & Data Enrichment: Program and manage highly targeted outbound lists and data-scraping workflows utilizing premium intelligence tools like Clay, Apollo.io, and Instantly.
- B2B LinkedIn Campaigns: Orchestrate automated, personalized LinkedIn Sales Navigator messaging sequences to hook corporate partners, property managers, and organizational care clients.
- CRM Pipeline Architecture: Set up, customize, and manage centralized pipeline tracking dashboards within HubSpot CRM, mapping leads from cold discovery through to closed-won deals.
- Appointment Logistics: Build automated calendar scheduling routers to confirm customer consultations and coordinate internal service calendars smoothly.
- Web & Marketing Support: Execute basic web updates, maintain digital content management systems, and support optimization initiatives to elevate the online visibility of both businesses.
Skills & Experience Required
- Automation Mastery: 3+ years (5+ years highly preferred) of proven experience in AI workflow implementation, sales operations, or automated lead generation pipelines.
- Software Tool Stack Proficiency: Deep, hands-on technical proficiency with the following application combinations is required:
- HubSpot CRM (custom views, pipelines, and native property triggers)
- Zapier or Make (data routing, webhooks, and multi-app mapping)
- Clay / Apollo.io / Instantly (data enrichment, lookup filtering, and cold email deliverability setups)
- LinkedIn Outreach Background: Demonstrated success setting up and monitoring non-spam outbound lead generation profiles via LinkedIn platforms.
- Operational Adaptability: Proven capability to handle contrasting operational environments—balancing the trade-based coordination needs of an environmental arborist outfit with the high-compliance framework of a disability support infrastructure.

- Strong analytical, data hygiene, and structural process-mapping capabilities.
- Exceptional written and verbal English communication skills suited for drafting automated outreach sequences and client touchpoints.
