Personal Assistant & Sales Support Coordinator

Job Overview

Our client is seeking a highly proactive and organized Personal Assistant with Sales Support experience to streamline executive-level operations and enhance client management. This hybrid role is primarily administrative (approximately 70%) with a strategic focus on client engagement and light sales outreach (approximately 30%). The ideal candidate acts as a "right hand" to the executive, anticipating needs, managing the professional interface with clients, and ensuring that no operational detail is overlooked.

Schedule

  • Monday – Friday, 10:00 AM – 2:00 PM PST (20 hours per week)

Key Responsibilities

Executive Operations & Administration (70%)

  • Calendar Mastery: Proactively manage the executive’s schedule, identifying and resolving potential conflicts before they arise.
  • Financial Coordination: Prepare and send invoices, track incoming payments, and conduct professional follow-ups on outstanding balances.
  • Inbox & Correspondence: Handle all client communications, ensuring timely, polished, and professional responses.
  • Workflow Optimization: Identify opportunities to improve administrative efficiency and maintain accurate records of all client interactions and billing.

Client Engagement & Sales Support (30%)

  • Relationship Management: Serve as a primary point of contact for clients, maintaining strong professional bonds and ensuring high satisfaction.
  • Sales Outreach: Support light outbound efforts, including re-engaging previous clients and nurturing existing relationships to drive retention.
  • Operational Flow: Act as the liaison between the executive and stakeholders to ensure a smooth communication flow and support business growth.

Requirements

  • Proven Experience: Prior background as a Personal Assistant, Executive Assistant, or in a high-level administrative support role.
  • Client-Facing Skills: Strong experience in sales, customer service, or client relationship management is preferred.
  • Communication: Exceptional written and verbal English skills; confident in communicating with high-level stakeholders.
  • Organizational Prowess: Ability to manage multiple priorities independently with minimal supervision and extreme attention to detail.
  • Reliability: Highly dependable with a professional demeanor and the ability to handle both operational and outreach tasks with equal proficiency.
