Bookkeeper & Reconciliation Officer (Xero | E-Commerce)

Job Overview

Our client is an Australian industrial technology company specializing in Industrial IoT, automation, and cloud-based remote monitoring solutions. Operating across e-commerce, industrial supply, and SaaS platforms, they require a reliable and detail-oriented Bookkeeper & Reconciliation Officer to manage day-to-day financial administration. This role is critical for maintaining accurate records across a complex ecosystem involving Xero, Stripe, and Wix E-commerce, ensuring that inventory costs, freight, and payouts are perfectly reconciled.

Schedule

  • Flexible working hours within Australian business times (20 hours per week)

Responsibilities

  • Financial Reconciliation: Perform daily and weekly bank reconciliations; manage Stripe payout and credit card reconciliations.
  • Cost Allocation: Handle supplier invoice matching, purchase order verification, and the allocation of freight and landed costs for imported products.
  • Accounts Administration: Process accounts payable, follow up on accounts receivable, monitor unpaid quotes, and reconcile supplier statements.
  • E-commerce Support: Reconcile Wix E-commerce orders; verify supplier orders/costs and monitor discrepancies between supplier invoices and customer orders.
  • Reporting: Assist management with weekly reconciliation summaries, expense tracking, and margin/profitability reporting.
  • Inventory Tracking: Assist with stock and purchasing reports and maintain accurate inventory cost tracking.

Requirements

  • Software Mastery: Strong, hands-on experience using Xero.
  • E-commerce Expertise: Proven experience in e-commerce bookkeeping and Stripe reconciliation.
  • Australian Compliance: Solid understanding of Australian GST requirements.
  • Technical Skills: Strong proficiency in Excel or Google Sheets for data organization.
  • Communication: Excellent written English communication skills.
  • Attention to Detail: High level of precision in identifying financial discrepancies across multiple systems.

Qualifications

  • Experience with inventory-based businesses (Preferred).
  • Experience with Wix E-commerce (Highly Regarded).
  • Familiarity with imported products and landed cost calculations (Preferred).
  • Previous experience supporting Australian-based businesses (Preferred).
