Job Overview

Our client is seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to a busy executive within the venture capital space. This role is ideal for a tech-savvy professional who thrives in a fast-paced environment and enjoys a mix of traditional executive support and modern, AI-driven workflow optimization. You will act as a key gatekeeper and coordinator, ensuring that scheduling, lead generation, and data management operations run seamlessly for a firm that backs high-growth technology startups across Southeast Asia.

Schedule

  • Monday – Friday, Flexible during Singapore business hours (20 hours per week) 

Responsibilities

  • Executive Coordination: Manage a complex executive calendar, including the scheduling of high-priority meetings and the organization of detailed travel itineraries.
  • Communication Management: Oversee email inbox management, ensuring all correspondence is triaged and that follow-ups are executed with professional precision.
  • Founder Outreach Support: Support proactive outreach by building and maintaining targeted lead lists using Sales Navigator.
  • Data Integrity: Perform accurate data entry and manage the import/export of critical information across spreadsheets and CRM systems.
  • AI Integration: Utilize AI tools (e.g., ChatGPT, Claude) to automate repetitive administrative tasks and improve overall workflow efficiency.
  • Record Keeping: Maintain meticulous digital records to ensure accuracy across all scheduling and data management initiatives.

Requirements

  • Proven Track Record: Solid experience as a Personal Assistant or Executive Assistant, preferably supporting founders, investors, or senior leadership.
  • Technical Proficiency: Strong skills in Excel and spreadsheet management for data-heavy tasks.
  • Lead Gen Expertise: Hands-on experience with Sales Navigator or similar lead generation tools.
  • AI Fluency: Familiarity with leveraging AI platforms (ChatGPT, Claude) to enhance productivity.
  • Communication Mastery: Professional written and verbal English skills suitable for interacting with high-level investors and founders.
  • Detail Orientation: Exceptional organizational skills with a focus on accuracy and follow-through.

Qualifications

  • Background in startups, venture capital, or fast-moving tech environments (Highly Preferred).
  • Familiarity with CRM systems and modern automation tools (Preferred).
