Creative and Admin Support Assistant

Job Overview:

We are seeking a highly organized and versatile Creative & Admin Support Assistant to support one of the company’s top-performing sales representatives.

This hybrid role combines graphic design, administrative support, client coordination, and sales assistance, requiring someone proactive, detail-oriented, and comfortable wearing multiple hats in a dynamic environment.

Client Overview:

We are looking for organized professionals ready to drive operational excellence and deliver memorable marketing solutions.

Schedule:

  • Monday - Friday, 9:00 AM – 5:00 PM EST, (40 hours per week)

Responsibilities:

Design & Creative Support

  • Create and edit mockups, artwork adjustments, and client proofs
  • Prepare client-facing visual materials aligned with branding guidelines
  • Assist with sales presentations and marketing collateral
  • Ensure all creative deliverables are polished, accurate, and professionally formatted

Sales & Administrative Support

  • Coordinate project timelines, order follow-ups, and ongoing client communication
  • Manage scheduling, inbox organization, and daily task coordination for the sales representative
  • Assist with quotes, product research, and order entry
  • Maintain organized records and ensure timely follow-up on open tasks and client requests
  • Support operational workflows to help keep projects moving efficiently

Requirements:

  • Strong graphic design skills with experience creating client-facing materials (APPLICATION WITH PORTFOLIOS WILL BE PRIORITIZED)
  • Excellent English communication skills (written and verbal)
  • High level of organization and attention to detail (critical requirement)
  • Ability to manage multiple tasks and priorities simultaneously
  • Comfortable working independently in a fast-paced environment
  • Strong problem-solving skills and a proactive mindset
  • Ability to balance creative and administrative responsibilities effectively

Highly Regarded Skills & Experience:

  • Experience in promotional products, branding, or marketing industries
  • Familiarity with Adobe Creative Suite, Canva, or similar design tools
  • Experience supporting sales teams or account managers
  • Experience with quotes, order entry, or client coordination workflows
  • Strong understanding of branding and layout design principles

Scope:

  • This full-time role involves providing comprehensive support to a senior salesperson through a mix of creative, operational, and administrative tasks. You will act as a key client liaison by managing presentations, proofs, and essential communication coordination. Beyond administrative duties, the position requires direct involvement in order management and detailed project follow-up. Ultimately, this role offers a unique opportunity to advance professionally as the business and its sales operations continue to scale.
