Personal Injury Settlement Administrator

Overview

We are seeking a detail-oriented and highly organized Personal Injury Settlement Administrator to support our legal and settlement operations team. This role is responsible for coordinating with law firms, tracking case updates, maintaining accurate records, processing settlement-related documentation, and assisting with financial and administrative tasks. The ideal candidate has strong communication skills, excellent follow-through, and the ability to manage multiple cases and deadlines in a fast-paced environment.

Responsibilities

  • Communicate with law firms via email, fax, and phone to obtain and track case status updates
  • Follow up with law firms to confirm receipt of records and coordinate with the records department for resending when necessary
  • Identify cases involving co-counsel and ensure appropriate follow-up actions are taken
  • Update CRM systems with accurate and timely case status information
  • Create invoices using MyCase
  • Receive settlement checks, enter and scan details into the system
  • Deposit checks and maintain proper financial documentation
  • Assist clients and internal teams as needed
  • Perform other administrative duties as assigned

Requirements

  • Previous experience in personal injury, legal administration, medical records, or settlement coordination preferred
  • Strong verbal and written English communication skills
  • Comfortable communicating with law firms via phone, email, and fax
  • High attention to detail and ability to maintain accurate records
  • Experience using CRM or case management systems such as MyCase is highly preferred
  • Ability to handle confidential and sensitive information professionally
  • Organized and capable of managing multiple follow-ups and deadlines simultaneously
  • Proficient in Microsoft Office and Google Workspace
  • Experience handling invoices, settlement checks, or financial documentation is an advantage
  • Strong problem-solving and follow-through skills
  • Reliable internet connection and quiet work environment
  • Ability to work independently while collaborating with internal teams
