Print Shop Operations Assistant

Job Overview

Our client is looking for a diligent and customer-focused Operations Assistant to support their growing print shop. This role is crucial for streamlining operational processes, enhancing client engagement, and contributing to overall efficiency. The ideal candidate will be strong in administrative tasks, adept at client follow-ups, and possess a keen eye for detail, with the potential to grow into more technical responsibilities.

Schedule

  • Monday - Friday (40 Hours per week)

Responsibilities

  • Client Quote Follow-ups: Proactively follow up with clients regarding quotes, utilizing email, SMS, or phone calls based on client preference and communication proficiency.
  • Web-to-Print Portal Maintenance (Easy Docs): Assist with the maintenance of the web-to-print portal, primarily by cloning existing templates, tweaking designs, and supporting the concept's sales to current clients. This involves duplicating established storefronts for various businesses (e.g., real estate agencies, hospitals) to allow clients to order repeat documents or make minor changes.
  • Dormant Customer Reactivation: Implement strategies to re-engage and reactivate dormant customer accounts.
  • CRM Cleanup: Maintain and organize customer relationship management (CRM) data to ensure accuracy and efficiency.
  • Spreadsheet Cleanup: Organize and clean various operational spreadsheets.
  • Operational Support: Provide general administrative and operational support as needed to ensure smooth business flow.

Requirements

  • Strong administrative skills and attention to detail.
  • Excellent interpersonal skills and a customer-centric approach.
  • High level of politeness and diligence.
  • Proficiency in spoken English, with an understanding of communication nuances.
  • Ability to work effectively in a remote, part-time capacity with potential for full-time growth.
  • Tech-savvy with the ability to learn new systems and processes quickly, particularly for web-to-print portal management.
  • Preferred: Previous experience in an operations or administrative role within a print shop or similar industry.
  • Preferred: Familiarity with CRM systems and spreadsheet management.
  • Preferred: Experience with quoting processes.
