Job Overview
Our client is looking for a meticulous and proactive Accounts Payable & Administration Assistant to support their financial operations. This role is essential for maintaining the integrity of the company’s accounts payable records by accurately processing purchase orders and reconciling supplier statements. You will act as a key internal coordinator, following up with technicians and project managers to ensure documentation is complete. This position offers a significant opportunity for professional growth, starting as a part-time role with the potential to transition into full-time as you take on broader responsibilities in accounts receivable, invoicing, and general business support.

Monday - Friday, 9:00 AM - 1:00 PM AEST (20 hours per week)
Responsibilities
- Data Entry & Processing: Process and enter purchase orders accurately into Simpro to maintain up-to-date accounts payable records.
- Statement Reconciliation: Reconcile supplier statements against entered invoices to ensure completeness and accuracy each month.
- Internal Coordination: Follow up with technicians and project managers to obtain missing or incomplete purchase orders.
- System Maintenance: Perform data cleanup within Simpro to maintain data integrity across the system.
- Documentation Management: File and forward relevant emails and documentation to bookkeepers for upload into Xero.
- Administrative Support: Support ad hoc administrative tasks as assigned, reporting directly to the Accounts Payable & Administration Lead.
Requirements
- Relevant Experience: Experience in data entry, preferably within an accounts payable or administrative environment.
- Attention to Detail: High level of precision and accuracy when processing large volumes of data.
- Communication Skills: Strong written communication skills for professional follow-ups with internal team members and suppliers.
- Technical Aptitude: Willingness to learn new systems and processes, particularly Simpro and the Xero integration.
- Self-Management: Ability to work independently and manage daily tasks with minimal supervision.
